Shopify for Zoho Desk

The Shopify for Zoho Desk extension is designed to cater to the larger automation needs of Desk support agents. The extension creates support tickets for every Shopify order, so that the support agents can easily track customers and their order information without leaving their Zoho Desk interface.
Notes
For Shopify accounts on the Basic plan, only sales orders will be synchronized; access to Personal Identifiable Information (PII) is restricted. To access PII, you must upgrade to at least the Shopify plan.

Installing the extension

The Shopify extension can be installed either from the Zoho Marketplace or from your Zoho Desk account.

To install from Zoho Desk:
  1. Log in to your Zoho Desk account with Administrator privileges.
  2. Click the Setup icon () > Integration > Marketplace
  3. Under Marketplace, click All Extensions.
  4. Search for 'Shopify' in the search bar on the right.
  5. Select the Shopify for Zoho Desk extension, then click Install.
  6. Under General Settings, select the department and profiles whose agents can access the extension in Zoho Desk.

  7. Agree to the Terms of Use, then click Install.
  8. Click Authorize in the pop-up to authorize the connections used in the extension.

    Once you authorize both connections, you will be redirected to the Preference tab.
  9. Click the Add Shop button.

  10. Enter the Shop Name and Domain URL.
    1. The Shop Name is the name you provide for your online store while creating your Shopify account. You can find the store name in your Shopify URL by looking after 'store/'. In the example URL provided below, the store name is 'zylker' https://admin.shopify.com/store/zylker.
    2. The Domain URL is the complete URL of your online Shopify store. The Shopify domain URL must be in the following format: https://{store_name}.myshopify.com/.

  11. Click Generate to create your unique redirect URL, which you will be required for app creation (Refer to the Note section for app creation in Shopify).
    You need to create the app in Shopify using this redirect URL.

  12. Provide the Client ID and Client Secret obtained after creating the app in your Shopify store.
  13. Click Save & Authenticate.

  14. Under Configuration, provide the store name.
    It should be the same Shop Name you provided in the Add Shop page.

  15. Under Preferences, define the criteria based on which the tickets need to be created and select a department.
  16. The criteria should be defined as follows:
    1. First column - Choose the desired criteria from the dropdown list
    2. Middle column - Define the action for the criteria
    3. Last column - Define the condition the criteria should match with
  17. You can define up to four different criteria and can choose to have the criteria pattern as AND or OR based on your requirements.
  18. Click Save.

Upon successful installation, the extension can be accessed from the right tab of the ticket detail page.

    1. Existing users may continue using the topping with your API access token.
    2. New users should follow the steps below to create an app in your Shopify dev dashboard. Once you create the app and embed it to your Shopify store, the Client ID and Secret for the app will be generated.
      1. Navigate to the Shopify partners page using this link: https://partners.shopify.com/.
      2. Click on App distribution > All apps in the left panel.

      3. Click Visit Dev Dashboard button.
        The dev dashboard will open in a new tab.
      4. Click the Create app button on the top-right corner.

      5. Under Start from Dev Dashboard, enter the App name and click Create.

      6. You will be taken to Create a version page.
        1. Under URLs, in the App URL, provide your Shopify domain URL.
          Keep the Embed app in Shopify admin box checked.

        2. Under Access, click Select scopes.

        3. In the pop-up opens up, select the API scopes required for the app from the following list, and click Done.
          1. read_customers
          2. write_customers
          3. read_draft_orders
          4. write_draft_orders
          5. read_inventory
          6. write_inventory
          7. read_locations
          8. write_locations
          9. read_orders
          10. write_orders
          11. read_products
          12. write_products

        4. Under Redirect URLs, paste the redirect URL copied from the Add Shop page and click Release.


        5. In the pop-up, provide a version name and message, if required, and click Release.
          A new version of your app will be created, and this app needs to be installed in your Shopify store.

      7. Click Home in the left panel.
      8. Under Distribution on the right panel, click Select distribution method.
        You will be redirected to the Distribution section on the Shopify partners
        page.
      9. Under Distribution, select Custom Distribution, and click Select.

      10. In the pop-up, click Select custom distribution.

      11. Under Store domain, provide your Shopify store domain in the format as given in the on-screen example. Keep the Allow multi-store install for one Plus organization option checked, and click Generate link.

      12. Confirm the warning message in the pop-up, and click Generate link.
      13. A new Install link will be generated. Click Copy button to copy the URL.

      14. Open the copied URL in a new browser tab, and all your available Shopify stores will be listed. Choose your desired store name from the list.
        The new app will be added to the selected Shopify store, and you will be redirected to install the app. Now, you need to install this new app into that store.
      15. Click Install.
        The app will be installed in your Shopify store and the client credentials will be generated in your dev dashboard.

      16. In dev dashboard, go to Settings tab of this new app. Under Credentials, you will find the Client ID and Secret of the app. These credentials should be used to configure in the settings page during topping installation.

Accessing the extension

The extension can be accessed from the right tab of the ticket detail page. To access the extension, open a ticket from your portal.
  1. Click the Extensions icon () on the right side of the ticket detail page.
    All extensions installed in this location will be listed.
  2. Select Shopify.
    The Shopify widget will be displayed in the right tab of the ticket detail page.

Managing orders and contacts

After the extension is installed, depending on the specific circumstances, various actions will be triggered when a customer places an order in Shopify. Please ensure you access the widget after installation to initiate these actions.

Below are the scenarios and their corresponding actions:
  1. Order Status Matches Configuration: If the order status matches the one configured in the preferences tab, a ticket will be created in Zoho Desk. The order details will be displayed in the widget when the ticket is opened. The displayed order details will include:

    1. Customer Information
    2. Order ID (Click on the ID to get redirected to the order in Shopify)
    3. Store Name
    4. Order Status
    5. Order Total Value
    6. Shipping Address
    7. Billing Address
    8. Order Note (only one note allowed)
  2. New Customer: If a customer who is new to Zoho Desk places an order in Shopify, a contact for that customer will be created in Zoho Desk by default. A ticket will only be generated if the order status matches the one configured in the preferences tab.
  3. Existing Customer: If an existing Zoho Desk customer places an order in Shopify, a ticket will be created in Zoho Desk, and the order details will be shown in the widget when the ticket is opened.
  4. Previous Orders: If a customer had orders in Shopify before installing the extension, only the latest five orders will be listed in the widget, regardless of the configuration in the preferences tab.

Uninstalling the extension

  1. Go to Setup > Integration > Marketplace
  2. On the Marketplace page, click Installed Extensions.
  3. Choose Shopify from the list of extensions.
  4. Click the More icon () in the upper-right corner of the Shopify extension setup page.
  5. Select Uninstall Extension.
  6. Click Confirm.
