Getting Started | Part 1: Foundation

Part 1- Foundation

Zoho Directory helps you manage your organization’s users, groups, apps, sign-in access, and security from one place. It acts as a central identity system for your organization, helping you control access to apps and apply security policies.
This guide will help you understand the basics and prepare your organization for setup.

Before setting up Zoho Directory, understand how your organization currently manages users and access.
Check:
  1. How employees are currently added and managed
  2. Whether you use Active Directory, LDAP, Google Workspace, or another identity system
  3. Which apps do employees need access
  4. Whether SSO is already in use
  5. How teams, departments, and locations are structured
  6. Who will manage users, apps, and security
This helps you choose the right setup approach.

Part 1 - Foundation

This part covers everything you should understand and prepare before you begin the actual Zoho Directory setup.
The goal is to establish the basic organization structure, understand where identities are currently managed, and make sure the organization is ready for user and application setup.

Get familiar with Zoho Directory

Zoho Directory is your organization’s central identity and access management system.
It gives administrators a single place to manage users and organize them, provide access to applications, configure authentication, and apply security controls.
With Zoho Directory, you can:
  1. Add, import, and manage users
  2. Create groups and organize users
  3. Add and configure applications
  4. Assign application access
  5. Enable single sign-on (SSO)
  6. Configure authentication and security policies
  7. Integrate with existing directory systems
  8. Delegate administrative responsibilities
  9. Monitor access and user activity

Why it matters

Before configuring individual features, it is useful to understand how Zoho Directory fits into your organization.
Instead of managing users and access separately across multiple applications, Zoho Directory provides a central layer from which identities, application access, authentication, and security can be managed.
This becomes particularly useful as your organization grows or uses multiple applications and identity systems.
Before you move on
Identify:
  1. Where employee identities are currently managed
  2. Which applications do employees use
  3. Whether your organization already uses SSO
  4. Whether an existing directory such as Active Directory or LDAP is in place
  5. Who will be responsible for user, app, and security administration

Access the Admin Panel

The Admin Panel is where administrators configure and manage Zoho Directory.
From the Admin Panel, you can access areas such as users, groups, applications, domains, administrators, directory integrations, and security settings.
What to do
  1. Sign in to Zoho Directory.
  2. Open the Admin Panel from the left menu.
  3. Familiarize yourself with the main administrative sections.
You do not need to configure everything immediately. At this stage, simply understand where the major controls are located.
Why it matters
The Admin Panel acts as the control center for your Directory environment.
Understanding its layout before setup makes it easier to navigate between related configurations later—for example, adding a user, placing them in a group, assigning an application, and applying access policies.

Set up your organization profile

Your organization profile defines your company's basic structure in Zoho Directory.
Start by reviewing and updating information that represents your organization.
What to do
  1. Configure details such as:
  2. Organization name
  3. Organization address
  4. Work locations
  5. Designations
  6. Other relevant organization information
Use values that reflect the structure your organization already follows internally.
Why it matters
A consistent organizational structure makes it easier to manage users later.
For example, work locations and designations can help administrators understand where users belong and can support more organized user management and access decisions.
It also reduces inconsistencies when users are imported or synchronized from another system.

Add and verify your domain

Add your organization's domain to establish ownership of the business domain you use for employee accounts.
For example, if employee addresses use name@yourcompany.com, you can add and verify yourcompany.com in Zoho Directory.
What to do
  1. Add your organization's domain.
  2. Access your DNS management console.
  3. Add the required DNS record.
  4. Complete domain verification in Zoho Directory.
Why it matters
Verifying the domain confirms that your organization owns and manages it.
A verified domain also provides a trusted foundation for managing employee identities associated with your organization.
Domain configuration can also become important when integrating Zoho Directory with other identity or directory systems.

Before you begin
Make sure you know who manages your organization's DNS records.
This may be:
  1. Your IT administrator
  2. Domain administrator
  3. Hosting provider
  4. Network or infrastructure team
