How to use Group Choices in Choice-based Field Rules

How to use Group Choices in Choice-based Field Rules

Overview

When a dropdown has many choices, finding relevant options can be difficult. Group Choices helps organize them under meaningful headers for better navigation and usability.

Let's check out how Group Choices can be used in Choice-based Field Rules to create a more structured and dynamic form experience.

Navigate to Rules > Choice-based Field Rules and select the Primary Field and Dependent Field from your form to create a new rule. Learn More

If the Primary Field is a drop-down with Group Choices, we have two options for selecting the choices.

  • Select Groups

  • Select Choices within Groups

Select Groups

To show dependent field choices based on the selected group, choose this option.

Let's understand this with an example. Suppose you run a holiday booking firm that organizes trips to different cities worldwide offering varied activity packages based on the region.

Each region includes different travel destinations:
  • European Destinations: Paris, Rome
  • Asian Destinations: Tokyo, Bangkok
  • American Destinations: New York, Chicago

Each activity package offers multiple experiences:

  • Cultural Tours : Museum Tours, Historical Site Visits

  • Adventure Packages : Mountain Hiking, Sea adventure

  • Food Experiences : Wine Tasting, Street Food Tours

For a structured listing and improved form-filling experience, travel destinations and activity packages are organized using Group Choices, as shown above.

You need to create a form where users select a city; based on their selection, only relevant activity packages for that region are displayed. For example, Asian cities (Tokyo & Bangkok) offer only adventure packages and food experiences (cultural tours are not available). Each region has its own unique activity packages.

Let's see how the primary and dependent fields are mapped in this use case.

Map Primary Field Groups

            Select Groups
  1. Click Select Groups.

    Select Groups (Primary Field)

  2. Select the required groups in the primary field that needs to be mapped to the dependent field, then click Done

One or more travel destinations can be included here depending on the tour operator's offering.

    Map Dependent Field Groups

    Map Dependent Field

  3. The Primary Field Group labels will appear on the left, and Dependent Fields will appear on the right. By default, Show all choices is mapped to the selected primary field group. To ensure only relevant choices are displayed in the dependent fields:

    • Click on the dependent field corresponding to the primary field group you want to customize.

    • Select +Choose Manually.

    Map Dependent Field Groups

  4. Choose the Dependent Field Groups that have to be mapped with the selected primary field group.

Activity packages for American destinations include cultural tours and adventure packages, while the food experiences package is not available. The options will be selected accordingly.

    Map Dependent Choices

  5. Click Save after mapping the fields.

In the live form, selecting New York displays only Cultural Tours and Adventure Packages while hiding Food Experiences.

Select Choices within Groups

To show dependent field choices based on selected choices within the group, choose this option.

Unlike Select Groups, where the entire group is mapped to dependent fields, this option allows individual choices within a group to be mapped to specific dependent fields. For example, using this option, a tour operator can map a specific city to a set of activity packages instead of grouping by region. Let's see how the primary and dependent fields are mapped in this use case.

Map Primary Field Choices

      Select Choices within Groups

  1. Click Select Choices within Groups.

    Select Choices (Primary Field)

  2. Choose the required Group Choices in the primary field that need to be mapped to dependent fields. Click Done.

Cities from multiple regions can be included based on the operator's package offerings, while those with travel restrictions may be excluded.

    Map Dependent Fields

    Map Dependent Field Groups

  3. Click the Dependent Field corresponding to the Primary Field group choice you want to customize. Select +Choose Manually.

    Map Dependent Field Groups

  4. Choose the Dependent Field Groups that have to be mapped with the selected primary field group choices.

    Map Dependent Choices

  5. Click Save after mapping the fields.

    Holiday Booking Form

In the live form, selecting Rome displays only Cultural Tours while hiding Adventure Packages and Food Experiences.

Here's a quick recap on when to use both options for group choices:

  • With the Select Groups option, we can map an entire region to specific activities—for example, European destinations (Paris and Rome) offering cultural tours and food experiences.

  • With the Select Choices within Groups option, we can assign different activity packages to individual cities within the same region—for instance, Rome offers only cultural tours.

Groups and Choices within Groups can also be mapped to normal choices (dropdown, multiple choice) and vice versa. Configure Choice-Based Field Rules for a normal dropdown or a multiple choice field

Note: For Dependent Fields, individual choices within the group are not supported for Choice-based Field Rules.
