Submission Source Info

Overview

When a respondent submits your form, Zoho Forms can capture additional details about their submission, including their IP address, location, device, and browser information. You can choose which details to collect based on your requirements.

To access these settings, navigate to Settings > General > Submission Source Info.
The details you collect will be available as Additional Fields in the All Entries section.

Collect IP & Location

Under Collect IP & Location, you can choose to collect the respondent's IP address and country at the time of form submission. 

In compliance with the data privacy guidelines of the General Data Protection Regulation (GDPR), IP addresses and locations are not captured by default. If you're capturing these on your forms, we recommend that you clearly inform your users about why you require these in the form instructions, and how will this data be used and processed downstream. In the context of GDPR:
  1. IP address is considered personal data — data that relates to a natural person.
  2. The Data Subjects (your users) have the right to be informed on why their personal data (IP address) is required, and how it will be stored and processed downstream.
  3. You are the Data Controller for all apps in your workspace, and it's your responsibility to inform them what you are capturing, and proceed only when you have a lawful basis to do so.
Collect IP & Location


IP Address

Zoho Forms can capture the public IP address of respondents when they submit your form. 
To enable IP address collection:
  1. Navigate to Settings > General > Submission Source Info.
  2. Under Collect IP & Location, enable IP Address.
  3. Click Save.


Country

Enabling Country will capture the respondent's country, which is determined using their IP address.

To collect the country where the respondent submitted the form:
  1. Navigate to Settings > General > Submission Source Info.
  2. Under Collect IP & Location, enable Country.
  3. Click Save.
NotesNote: If IP Address collection is disabled but Country is enabled, Zoho Forms will still use the respondent's IP address internally to determine their country. However, the IP address will not be stored or displayed as part of the submission data.

Collect Device Details

Under Collect Device Details, you can choose to collect details about the device the respondent used to submit the form.

The following fields are available:
 

Field

Description

Device Type

The type of device used (e.g., Desktop, Mobile)

Device OS

The operating system of the respondent's device (e.g., Mac OS X, iOS)

User Agent

The full user agent string from the respondent's browser


To enable Device Type, Device OS and User Agent details collection:
  1. Navigate to Settings > General > Submission Source Info.
  2. Under Collect Device Details, select the fields you want to collect.
  3. Click Save.

View collected respondent details in All Entries

The respondent details you choose to collect will be available as additional columns in the All Entries section. To view these fields:
  1. Go to All Entries.
  2. Click the horizontal ellipsis icon in the top-right corner and select Additional Fields.
  3. In the Additional Fields popup, enable the fields you want to view.
  4. Click Save.

For example, if you want to view IP Address details in All Entries section, enable the IP Address checkbox in the Additional Fields popup.

The selected fields will appear as columns in the All Entries. 

View collected respondent details in Reports

To view the collected respondent details in Reports:
  1. Go to the Report of your Form. If you have not created a Report for the required form, create a new Report.
  2. In the Report Builder, click Show/Hide Columns and select the fields you want to view in the report. 
  3. Click Save.

The selected fields will appear as columns in the report.

Note: None of the respondent details are collected by default. You can enable the fields you need.
