Manage Assets

An Asset refers to a part instance that has been sold to customers and is now owned by them. Consider a company selling air conditioners. To provide after-sales support like warranty service or repairs, they would need to keep track of their sold products. With the Assets module, you can manage the assets associated with a customer and create work orders for these assets.

Add Assets

To add an asset:
  1. Select the Assets module from the Customers menu and click Create.
  2. Enter the following details, then click Save:
    1. An Asset Name
    2. Select the related ContactCompany, and Part
    3. Description of the asset
    4. Address where the asset is located
    5. Any Parent Asset you want to associate with the given asset
      The list of all assets related to the parent asset can be seen under the Child Assets related list of the parent asset.
    6. An Asset Number
    7. GIAI (global individual asset identifier) code
    8. The Purchased Date
    9. The Installation Date
    10. The Ordered Date
    11. The date of Warranty Expiration
    12. Currency
      The Currency and Exchange Rate will be displayed only if multiple currencies are enabled.
    13. Company/Contact you want to associate with the asset.
      If the sync type between Zoho FSM and Zoho Books/Invoice is Type III or Type IV, in the module builder you can set whether these fields are mandatory or not.

Child Assets, Requests, Estimates, Work Orders, and Service Appointments can be created for an asset. These details can be found under the Related List tab of the Assets View page.


Add Assets from Mobile App

To create an asset:
  1. Select Assets, in the left menu.



  2. In the Assets screen, tap the add [+] icon.



  3. In the Create Asset page, enter the necessary details and click Save.



  4. In the lookup fields, you can do an advanced search.
  5. In the address fields, you can add addresses.
  6. The Currency and Exchange Rate will be displayed only if multiple currencies are enabled.
The created asset can be edited. To edit an asset:
  1. Click the Edit [] icon on the top right side.
  2. Make the necessary changes and click Save.

         
You can also add notes, and view the related records.

What is the purpose of the Product field?
Why is it mandatory?
Where are the instructions on how to create Products for Assets??????

Hi Tommy,

Product/Part: Any item that you will use to render a service. E.g., a thermostat for AC repair services, emulsion paint for painting services. A part can also be something that you sell. E.g., Air Dryers

Asset: Refers to a product/part instance that has been sold. E.g. Consider a company selling or renting out equipment like Air Dryers, Air Coolers, Filter Systems, etc and providing repairs and maintenance after that. In this case, they can add each of the equipment as a part and the individual equipment that they sell as assets associated with that part.

Hence, a product/part is mandatory for creating an asset. Refer to this help to know how to add a product/part. You can use one of the below two options:
  1. add a product/part first and then select it while creating an asset
  2. use the quick create option to create a part while adding a new asset

Can we store the Products using Barcode Directly , to Scan the Product and save it as a record into Assets Module and when we needed for workorder then we scan the barcode of the product and Put it into workorder detail record ???

adding each Product in Assets Module (One by one) it takes time, so Can i scan the Product and Put the Product detail into Assets Module as a record ???


also the import option is there but , our products are to much and its not in sheet.

what is the Best solution to inject the data into Assets Module (Zoho FSM) ?

Hi Rafi,

Our support team has responded to a similar query that you had sent to support@zohofsm.com. I am just paraphrasing that response here.
 
You cannot add a part in Zoho FSM by scanning its barcode. You can only search a part using their barcode or QR codes while creating a work order.
 
If you let us know the details of how and where you have your product details, we can assess how we can help you import these details into Zoho FSM.
