Work Order to Sales Order Conversion
You can automate the process of sales order creation in Zoho Books/Inventory whenever a work order is generated in Zoho FSM. This automation can be managed from the Billing settings in Zoho FSM. The Committed Stock is automatically updated based on the parts specified in the work order.
Enabling Automated Sales Order Creation
To automate sales order creation, follow these steps:
- Navigate to Setup > Billing > Billing Setup and select the Stock Management tab.
- Enable the toggle for Sales Orders.
This option will be available if either of the two settings are enabled in Zoho Books
- Settings > Organization Settings > Setup & Configurations > General > Enable Zoho Inventory modules in Zoho Books is enabled.
- Settings > Module Settings > General > Items > Enable Inventory Tracking. - Click Configure to map the Zoho FSM Work Order values to Zoho Books Sales Order.
- In the Field Mapping overlay, select the Zoho Books fields that you want to map to the Zoho FSM Work Order fields. This mapping will be used when sales orders are created from work order.
- Click Save.
How does it work?
- Create a work order in Zoho FSM.

- A sales order will be automatically created in Zoho Books.

In the left panel of the work order, a link to the sales order will be present under the Finance Records section.

- The Committed Stock will automatically update based on the number of parts you had chosen in the work order.

- When you create an invoice for the work order, it will be reflected in the sales order.

If the automatic conversion of a work order to a sales order fails, an error message will be shown. Hover over
Know More to view the reason for the failure. Click
Try Again to re-attempt the conversion. You may need to manually
link or
push records to Zoho Books/Invoice first.
Note: This automation only applies to work orders created directly within Zoho FSM; it does not apply to those created from existing sales orders via the
Zoho FSM for Zoho Books extension.
