Overview

Zoho Notebook is now included as part of the Zoho Projects Plus bundle, enabling teams to capture ideas, manage project documentation, collaborate on notes, and organize knowledge efficiently within their project ecosystem.

This article explains how Notebook works inside Projects Plus, organization configuration options, supported features, limitations, and plan-related clarifications.

How Zoho Notebook is Useful in Projects Plus  

Zoho Notebook enhances project collaboration and knowledge management by allowing teams to:

  • Document project requirements

  • Maintain meeting notes

  • Create checklists and task-related notes

  • Store design references and research materials

  • Organize SOPs and internal documentation

  • Share project-specific notebooks with team members

  • Collaborate using Teamspaces

Notebook acts as a centralized documentation layer alongside project execution tools.

Organization Configuration When Accessing Notebook in Projects Plus  

When a user accesses Notebook through Projects Plus for the first time, they will see an Organization Configuration page.

This page allows them to decide how Notebook should be associated with Projects Plus.

Scenario 1: User Already Has a Free Zoho Notebook Account  

The Org Configuration page will be displayed.

The user can:

  • Select an existing free Notebook organization to associate with Projects Plus, OR

  • Create a new Notebook organization specifically for Projects Plus.

Both options are available.



Scenario 2: User Already Has a Paid Notebook Plan (Standalone) or Zoho One Notebook  

The Org Configuration page will be displayed.

However:

  • The user cannot select their existing paid Notebook organization to associate with Projects Plus.

  • They can only create a new Notebook organization for Projects Plus.

This restriction exists because Projects Plus includes its own bundled Notebook entitlement.

Scenario 3: User Creates a New Notebook Organization for Projects Plus  

If the user chooses to create a new org:

  • A new Notebook organization will be created.

  • This org will automatically load within Projects Plus.

  • It will operate under the Projects Plus entitlement.

Plan Clarification & Downgrade Requirement  

If a user already has a paid standalone Notebook plan and wants to use that same org inside Projects Plus:

  • They must contact Zoho Notebook Support.

  • The existing paid Notebook plan must first be downgraded to Free.

  • Once downgraded, the org can then be associated with Projects Plus.

If the user is already on a free Notebook plan, there are no restrictions they can directly associate the org.

Feature Availability in Projects Plus Notebook  

Teamspaces  

Teamspace support is fully available in Projects Plus.

All Other Features  

Except for the limitations listed below, all other features are the same as Zoho One Notebook.


Limitations in Projects Plus Notebook  

The following features have specific restrictions:

1. View Options  

  • Only List View is available.

  • Grid View is not supported yet.

2. Appearance Mode  

  • Only White Mode is available.

  • Night Mode / Dark Mode is not supported yet.

3. Migration Options  

If Projects Plus' Notebook is configured as a secondary organization:

  • OneNote migration is not available.

  • Evernote migration is not available.

 Frequently Asked Questions (FAQ) 

1. Will I be able to access my notebooks and notecards that I was using before Projects Plus inside Projects Plus?  

Yes, but this depends on what you choose during the Organization Configuration step.

  • If you select your existing Notebook organization while configuring Projects Plus, your previously created notebooks and notecards will be visible and accessible inside Projects Plus.

  • If you choose to create a new Notebook organization for Projects Plus, your old notebooks and notecards will not be available in this new org.

Each Notebook organization works independently, and data does not automatically sync across different orgs.


2. Can I switch between Notebook organizations inside Projects Plus?  

No. Switching between multiple Notebook organizations within Projects Plus is not supported.

Once an organization is selected or created during configuration, that org will be associated with Projects Plus.


3. If I have multiple Notebook organizations, can I choose which one to use during configuration?  

If you already have multiple Notebook organizations:

  • The default organization will be listed during the Organization Configuration step.

  • Only the eligible org will be available for selection.

Manual switching or choosing between multiple orgs is not supported beyond what is displayed during configuration.

4. Can I create and manage Teamspaces in Notebook under Projects Plus?  

Yes. Teamspace support is available in Projects Plus. You can:

  • Create Teamspaces

  • Manage Teamspaces

  • Add or remove members

  • Organize notebooks within Teamspaces

Teamspace management works similar to other supported Notebook plans.

5. Does Zoho Notebook in Projects Plus support Notebook AI?  

Yes. Zoho Projects Plus includes the Notebook Business plan, which supports Notebook AI features.

You can use Notebook AI seamlessly within Projects Plus for:

  • AI-powered content generation

  • Summarizing notes

  • Improving and refining content

  • Extracting key insights

Notebook AI works smoothly inside the Projects Plus environment, just like in the Business plan.
