Practice-integrated users in Zoho One

When Zoho Books is integrated with Zoho Practice, client users added from Zoho Practice appear as integrated users in Zoho Books.
If your Zoho Books organization is part of Zoho One, these integrated users are automatically brought into Zoho One under the Lite-Practice add-on. No admin action or license purchase is required, and the add-on is assigned as part of the integration flow.

Changing a Lite-Practice user's license

You can move a Lite-Practice user to a full Zoho One license or to any other Lite user license. Changing the user's license does not affect their access to Zoho Books or Zoho Practice if the new license supports those applications.
Warning: If you move a Lite-Practice user to a license or add-on that does not support Zoho Books, such as Lite-Collaboration, the user will be deactivated in Zoho Books and Zoho Practice. The underlying integration is not broken, and reactivating the user restores access to both applications.

Re-converting a user back to Lite-Practice

If you have changed a Lite-Practice user's license and later re-add them through the Zoho Practice integration, Zoho One will try to convert them back to the Lite-Practice add-on automatically.
This conversion will only succeed if, at the time of re-addition, the user:
  1. Is not associated with any Zoho app under a full Zoho One license, other than Zoho Books
  2. Does not hold a Zoho One admin role (such as Organization Admin or Application Admin)
  3. Is not linked to device management (MDM/MAM) or RADIUS authentication

If any of these conditions are not met: The user is re-added to the integration but keeps their existing license. Lite-Practice is not reassigned, and no notification is sent to you or the user.
What to do: After re-adding a user from Practice, check their license in the Zoho One Admin Panel to confirm whether the conversion happened. There is no automatic confirmation.

If the Books-Practice integration is removed

If the Books-Practice integration is removed from Zoho Practice, all Lite-Practice users in your Zoho One organization are automatically converted to full Zoho One licenses. This happens without any warning in Zoho One, because the integration is managed from within Zoho Practice.
Before removing the integration, check your available Zoho One license count. If you do not have enough licenses to cover all Lite-Practice users, excess users will be at risk of deactivation.

What happens after removal:

Zoho One converts all Lite-Practice users to Zoho One licenses automatically. If the conversion results in more active users than your available license count, Zoho One sends an email and an in-app notification to all Organization Admins. The notification shows the number of excess users and prompts you to either deactivate users or purchase additional licenses.

What you need to do within 24 hours of that notification:

  1. Purchase additional Zoho One licenses, or
  2. Deactivate users you no longer need active, or
  3. Manually reassign specific users to an available Lite license type
If no action is taken within 24 hours, excess users will be deactivated. Deactivated users lose access to Zoho Books and all other Zoho One applications. Their access to Zoho Practice is not affected. Since the Books-Practice integration has already been removed, these users can continue using Zoho Practice as an independent service.
To reactivate users: Ensure sufficient licenses are available, then reactivate the affected users from the Users section in the Zoho One Admin Panel.
