Overtime Submission, Approval, and Export Approved Overtime

When overtime approval is enabled in the overtime policy, employees must submit their overtime hours for approval. This helps employees provide accurate overtime details, allows the organization to record approved hours, and supports accurate payroll calculations.

  1. The Overtime tab will be shown in Attendance > My Data only when manual requests are allowed in the overtime policy for the user.
  2. Submission of overtime by either reporting manager or administrator can only be done for users for whom manual overtime requests are allowed in their overtime policy.
To submit overtime hours for approval:
  1. Navigate to the Attendance > Overtime tab:

    1. If you are an Employee (Self): Go to Attendance > My Data > Overtime > Submit Overtime.



    2. If you are a Reporting Manager (to submit for your reportees): Go to Attendance > Team > Reportees. Click on the required reportee, and click Overtime > Submit Overtime.



    3. If you are a Data Admins or Attendance Module Admins (to submit for employees in your organization): Go to Operations > Attendance > Overtime > Submit Overtime. Select the employee for whom you would like to submit the overtime.


  2. Select the period as Today, This Week, This Month, or a Custom Period for which you want to submit overtime.
    The employee’s total work hours and overtime hours recorded for the selected period will appear.

    You can submit overtime for a custom period of up to 31 days.

  3. You can edit the total overtime hours or click the edit icon to modify the overtime split-up.
    Info
    Overtime hours to be submitted cannot exceed logged overtime hours.
  4. Enter a comment or note for the overtime submission.
  5. Review the total overtime hours logged and the hours to be submitted at the top-right of the page.
  6. Click Submit.
    Based on your organization approval configuration, the submitted overtime will either be auto-approved or sent to the respective approver for approval.

Options in Overtime tab

  1. Click on left arrow on the calendar icon to view previous months overtime requests.
  2. View All, Approved, Pending, Rejected and Cancelled overtime requests.


  3. Export, Download as Pdf or Print the overtime request in the current page view,

Approve Overtime Requests

All approvers will receive an email notification to approve employee's overtime requests, alternatively approvers can:
  1. Navigate to Home >  My Space > Overview > Approvals tab, click on Approve.
  1. Reporting managers can navigate to Attendance > Team > Reportees > Overtime to view and approve pending overtime requests.
  2. Data Admins and Attendance Module Admins can navigate to Operations > Attendance > Overtime to view all employees’ pending overtime requests and approve them.
    The approver can modify the hours to be approved and then approve the overtime request.

    Overtime hours to be approved cannot exceed employee's logged overtime hours.

View and Export Approved Overtime Hours

Administrators can view and export approved overtime hours for the month, either for specific employees or for all employees in the organization.
  1. Navigate to Operations > Attendance > Overtime.
  2. Select Approved from the dropdown.


  3. Apply the required filter for the export, for example this month or custom period.
  4. Click on the ellipsis icon >  Export, choose export format and click Export.
    The approved overtime data for the applied filter will be downloaded.
