Online meetings are now just a couple of clicks away. Start an online meeting with our Meeting integration. Navigate to Zoho Apps under Integrations in your Zoho Projects setup and enable Zoho Meeting. To schedule meetings from calendar and task details page, you need to upgrade your Zoho Meeting subscription and enable the integration in Zoho Projects.

Use case

 

Zylker software solutions is a software development company that allows their employees to work remotely. They use Zoho Projects to manage their projects. When there is a need to conduct meetings with their employees, it can be tedious for them to manually invite each and every employee. To overcome this hurdle, you can integrate Zoho Meeting with Zoho Projects.

John, a team lead at Zylker software solutions has arranged a team meeting to discuss the client requirements and project goals with his employees. The team needs to work on the requirements and deliver the software as per the client requirements. The team lead sets an online meeting using Zoho Meeting directly from Zoho Projects after integrating Zoho Projects and Zoho Meeting. The team meeting can be added to everyone's calendar, and they can also set reminders.

Schedule meetings from calendar and task details page

1. To schedule meetings from calendar, click Discuss in the left panel and go to the Meetings tab and Click Schedule Meeting. Also, you can schedule meetings from the task details page, click Schedule Meeting in the Meet Now dropdown.
   

2. Enter a title for your meeting and set an agenda.
   
3. Select the date and time for your meeting.
   
4. Select the participants for your meeting. 
   
   • If you want to invite users other than the project/client users, click the External Users checkbox and enter their email IDs.  
     
     

5. Click  Save. A meeting link will be generated. You can share this link to let other users join the meeting. 
   
   • A meeting invite will be sent to all participants. Participants will also receive a notification in Zoho Projects and the invite will be pushed to their Feed.
     
6. Click Start Meeting. You will be redirected to an AV interface for the meeting.
   
7. Click Start Sharing to share your screen with participants.
   

Start instant meeting from task details page

Start your meetings instantly or schedule meetings from the task details page. 

1. Navigate to task details
   
2. Click Meet Now to start your meeting instantly.
   
3. Enter the necessary details.
   
4. Select participants from project users and click Send Invite.
   
   • A meeting invite will be sent to all participants. Participants also receive a notification in Zoho Projects and the invite will be pushed to their Feed.
     
   • A meeting link will be generated. Share this link to let other users join the meeting. 
     
     

5. Click Start Meeting. You will be redirected to an AV interface for the meeting.
   
6. Click Start Sharing to share your screen with participants.
   

• The users can be a part of only one Zoho Meeting Organization. When you integrate Zoho Meeting with Zoho projects, the users who are already part of other organizations cannot be added.
  
• Make sure Zoho Meeting integration is enabled before scheduling a meeting or starting a meeting. 
  
• All user roles except Viewer and Follower can start a meeting. 
  
• Participants can view a recording of the meeting from the feed and the meeting details page.
