Lite Users in Zoho Projects

Lite Users

Zoho Projects supports an additional user profile called Lite Users. Unlike Read-only user profile, Lite User profiles can have view, add, and edit permissions. These permissions can be modified as per requirement across modules. Project admins can purchase licenses for Lite Users to perform actions as per their scope.


Availability: Ultimate Plan. Not supported in Bundled services.
Notes
Default Lite User License count is Zero. Admins can purchase licenses from Zoho Store.
Idea
For instance, in a healthcare project, admins handle sensitive patient records. Any unauthorized alteration to these records can lead to extreme consequences such as incorrect treatment, data breaches, or compliance violation. To avoid such incidents, users, can be assigned access based on their roles, as Lite Users. Lite User access will allow them to perform only essentials actions like viewing patient information relevant to their role, updating vital data and editing only their owned data. The access will restrict them from editing details that are not owned by them, such as treatment plan, prescriptions or systematic work flows.

The default permissions for Lite Users in Zoho Projects are: 
  1. Can View only Related Tasks, Edit Owned Tasks and Add None.
  2. Can View All Task List but can Add or Edit None.
  3. Cannot View, Add or Edit Phases.
  4. Can View Related Issues, Edit Owned Issues and can Add None.
  5. Can View, Add and Edit only Owned Time Logs.
  6. Can Add Feed status but can Edit or Delete none.
Below is the scope for Lite user profiles:
  1. Cannot be updated or customized within the portal or project.
  2. Can add comment but cannot edit or delete the comments.
  3. Can view the related Tasks, unassigned tasks, Time logs, related & unassigned issues.
  4. Can add Feed.
  5. By default Lite user will be allowed to comment on all project documents.
  6. Can view and add comments in Forums.
  7. Cannot view Global and project reports.
  8. Can create all new connections in Set up page.
  9. Admins or Project owner cannot be updated to Lite user.

Add Lite User

  1. Click  in the upper-right corner of the top navigation band.
  2. Navigate to the Manage Users and then click Portal Users. 
  3. Click Invite User in the upper right corner. 
  4. Enter User Email.
  5. Select the Lite user option, below the Email ID field.
  6. Enter other details and click Invite. Click Invite More to add additional users.

Convert to Lite User

  1. Click  in the upper-right corner of the top navigation band.
  2. Navigate to the Manage Users section and click Portal Users. 
  3. Hover over a specific user and click on the ellipsis icon.
  4. Select the Edit option.
  5. Select Lite User option under the user's email ID.
  6. Click Update.
