Resources

Resources are equipment that are used in performing project activities. These could be machinery, heavy equipment, etc. Zoho Projects allows users to add and track resources used in completing their projects.

Idea

Use case

Construction: Heavy equipment is used for constructing a building. Some of them are excavators, bulldozers, cranes, JCB, and so on. These materials can be added as Resources to track the resources used in completing the project.
 
Website development: A website can be created using multiple software. These can be added as resources to track what was used to create the website.
 
Manufacturing: In the Resources section, you can add the equipment used to manufacture a product to determine the number of resources used.

Add a Resource

  1. Click in the top navigation band.
  2. Click Manage Users in the left navigation panel and then click on Resources.
  3. Click the Add Resource button in the upper-right corner.
  4. Enter the details.
  5. Click Add New Category to create a new one.
  6. Add the Cost Per Hour (to calculate project cost) and Rate Per Hour (to calculate project revenue).
  7. Select projects to associate the resource in the All Projects tab.
    The selected projects will appear under the Working Projects tab in the form.

  8. Click Add.
  9. View resources associated with a project under its Users tab.

Assign Resources to Tasks

Resources can be assigned to tasks along with users or instead of a user. Timesheet cannot be logged for resources. 
  1. Navigate to a project and click on the Tasks tab in the top navigation band.
  2. Click Add Task in the upper-right corner.
  3. Enter the task details.
  4. Select a resource from the Owner field.
    A task can be assigned to multiple resources.
  5. Click Add.

Filter Tasks by Resources

Tasks can also be filtered based on resources assigned to them.
  1. Navigate to a project and click on the Tasks tab in the top navigation band.
  2. Click the filter icon () in the upper-right corner.
  3. Select the resources from the Owner field.
  4. Click Find.

Resources in Workload Report

The workload report allows users to view tasks allocated to Users as well as Resources.
  1. Navigate to a project and click on the Reports tab in the top navigation band.
  2. Select Workload Report.
  3. View Resources and the tasks allocated to them.
  4. Click the filter icon () in the upper-right corner.
  5. Select Resources from the Owner field and click Find to filter the chart by resources.

Add Resource Category

  1. Click in the top navigation band.
  2. Click Manage Users in the left navigation panel and then click on Resources.
  3. Click the category icon ().
  4. Enter a name for the category.
  5. Click Add.

Other Actions

  1. Hover over a resource and then click   to view more options.
  2. The following actions can be performed:
    Edit: Modify the resource details
    Delete: Delete a resource
    Deactivate: Deactivate a resource without deleting it.

Activate Resources

Deactivated resources are not deleted permanently. They can be viewed and activated again.
  1. Click on the Active or Deactivated resource drop-down.
  2. Select Deactivated Resources.
  3. Hover over a resource to activate or delete it.
  4. Hover over the information icon to check the remaining resource count.

Edit Resources Within a Project

  1. Navigate to a project and click on the Users tab in the top navigation band.
  2. Select Resources from the drop-down.
  3. Hover over a resource and click the more action icon ().
  4. Click Edit.
  5. Edit the details as needed.
    Cost Effective From Date will determine from when the new Cost Per Hour should take effect for a project.
  6. Click Update to save changes.

Remove Resources From a Project

  1. Navigate to a project and click on the Users tab in the top navigation band.
  2. Select Resources from the drop-down.
  3. Hover over a resource and click the more action icon ().
  4. Click Remove.
    This action will remove the resource from the project but not from the portal.
