Export Zoho Projects Data
Zoho Projects allows users to export data store in their portal to share with collaborators, creating reports or for compliance requirement.
Module Level Exports
Zoho Projects supports exports from the following modules:
Projects
- Navigate to Projects tab in the left navigation panel and click more options icon (
) in the upper-right corner.
- Enter or select the relevant fields.
Format: xlsx or csv
Projects Custom View: Export projects only from the selected view.
Filter: Create a filter to drill-down to match specific criteria.
Select Columns: Move columns from the Available section to Selected section. Only data from the selected columns will be exported.
Schedule Export: Toggle this option if you want to export data at a later date or at a set frequency. - Click Export it it is a one time action or Schedule if you are setting it up for a later date.
Tasks
Tasks across all projects:
- To export tasks across projects, navigate to Overview > Tasks from the left navigation panel.
- Click more options icon (
- Enter or select the relevant fields:
Format: xlsx or csv
Task View: Export projects only from the selected view.
Export with file information: File information is saved in the sheet.
Export All Projects Tasks in Single Sheet: Save all the tasks in one sheet or each project will have its own sheet.
Project Category: Active, Archived, or Both
Filter: Create a filter to drill-down to match specific criteria.
Select Columns: Move columns from the Available section to Selected section. Only data from the selected columns will be exported.
Schedule Export: Toggle this option if you want to export data at a later date or at a set frequency. - Click Export it it is a one time action or Schedule if you are setting it up for a later date.

Time logs across all projects:
- To export Time Logs across projects, navigate to Overview > Time Logs from the left navigation panel.
- Click more options icon (
- Enter or select the relevant fields:
Format: xlsx or csv
Time Log View: Export projects only from the selected view.
Export with file information: File information is saved in the sheet.
Export All Projects Time Log(s) in Single Sheet: Save all the time logs in one sheet or each project will have its own sheet.
Project Category: Active, Archived, or Both
Date Range: Select the time period to export time logs.
Filter: Create a filter to drill-down to match specific criteria.
Select Columns: Move columns from the Available section to Selected section. Only data from the selected columns will be exported.
Schedule Export: Toggle this option if you want to export data at a later date or at a set frequency. - Click Export it it is a one time action or Schedule if you are setting it up for a later date.
Time logs is a project:
- Navigate to a project and click on the Time Logs tab in the top navigation panel.
- Click more options icon (
- Enter or select the relevant fields:
Format: xlsx or csv
Time Log View: Export projects only from the selected view.
Date Range: Select the time period to export time logs.
Filter: Create a filter to drill-down to match specific criteria.
Select Columns: Move columns from the Available section to Selected section. Only data from the selected columns will be exported.
Schedule Export: Toggle this option if you want to export data at a later date or at a set frequency. - Click Export it it is a one time action or Schedule if you are setting it up for a later date.
Users
Users at org level:
- To export Users across projects, navigate to Overview > Users from the left navigation panel.
- Click more options icon (
- Enter or select the relevant fields:
Format: xlsx or csv
Filter: Create a filter to drill-down to match specific criteria.
Select Columns: Move columns from the Available section to Selected section. Only data from the selected columns will be exported. - Click Export.
Users in a project:

Reports
Reports can be exported and shared with other stakeholders.
- Click Reports in the left navigation panel.
- Select the report type from the drop-down.
- Click more options icon (
- Select the relevant export option.
Reports in a project:
- Navigate to a project and click on the Reports tab in the top navigation panel.
- Select a dashboard and click more options icon (
- Select the report type from the drop-down.
- Click more options icon (
- Select the relevant export option.
Custom Dashboard
Custom dashboard at portal or org level:
- Click Home in the left navigation panel.
- Select the dashboard from the drop-down.
- Click more options icon (
- Click Export to PDF.
- Select the relevant option:
Entire dashboard in a single page: All the widgets in one page.
Each widget in a new page: One widget per page.
Custom dashboard in a project:
- Navigate to a project and click on the Dashboard tab in the top navigation panel.
- Select a dashboard and click more options icon (
- Click Export to PDF.
- Select the relevant option:
Entire dashboard in a single page: All the widgets in one page.
Each widget in a new page: One widget per page.
