User Management

User Management is the process of providing users in an organization with access to RouteIQ. You can activate and deactivate users.

 

Only Admins can activate and deactivate users. Admins cannot deactivate the Super Admin. Super Admin is the admin user who initially setup the integration between RouteIQ and Zoho CRM.

 

You can manage users from two places:

  1. The Settings menu in RouteIQ.

  2. The Extension Settings menu in Zoho CRM.

From the Settings Menu in RouteIQ

  1. Select RouteIQ in the modules bar in Zoho CRM to open the RouteIQ web tab.


  1. Click the gear button to open the Settings menu.
                

  1. Click the User Management button.

1. Log in to Zoho CRM and click 
Marketplace.

            


2. Click Installed -> RouteIQ for Zoho CRM and click "Configure".


3. Now, click the "Users" tab.


Activating Users

Activating a specific user

  1. To activate a specific user, search for their name or email in the search bar.


  1. Click on the toggle switch in the User Status column. The switch will be green when the user is activated.


Activating users in bulk

  1. To activate users in bulk, choose All Users in the dropdown next to the search bar.
               

  1. Click on the user status and a dropdown will appear.

            

  1. Click Activate all Users. This will activate all the users in the view. A view can contain up to 100 users.

Notes
Note: If you want to add a new user in RouteIQ, you have to first add them as a new user on Zoho CRM and then activate them on RouteIQ. To learn how to add a new user on Zoho CRM, please follow the steps listed in this help doc.

Deactivating Users

Deactivating a specific user

  1. To deactivate a specific user, search for their name or email address in the search bar.


     

  1. Click the toggle switch in the User Status column. The switch will be green when the user is deactivated.

           

Deactivating users in bulk

  1. To deactivate all users, select Mutual Users in the dropdown next to the search bar.

            

  1. Click on the user status to open the dropdown.

            

  1. Click Deactivate all Users. This will deactivate all the users in the view. A view can contain up to 100 users.

           

Enabling Live Tracking

As the name suggests, Live Tracking tracks the live location of the user. Here's how you can enable it for your organization.

  1. Log in to Zoho CRM. Click the marketplace logo. Click Installed -> RouteIQ -> Go to the Users tab. Choose the user you want and click the plus icon under Live Tracking. 



  2. Select the tracking type based on which you want to track the user

Shift Hours Based: This tracks the user during their assigned shift hours in Zoho CRM.

Route Status Based: This begins tracking the user when they have started a route until they end the route.

Always: This tracks the user all the time (24X7)

Once, live tracking is enabled, an email with steps to activate the RIQ LT Agent app and the activation link will be sent to the user. You can also share the activation link shown below to the user to activate the app.

Note: To use shift hours based tracking, shift hours or business hours must be setup in Zoho CRM.

User Export and Import

The user import and export feature is built to make it easier for organizations with thousands of users to activate and deactivate RouteIQ for their users.

 

  1. Select All Users view.

      

  1. Export your users as a CSV from RouteIQ.

      

  1. In the RouteIQ_Users.csv file update the RQ_USER_STATUS field to:

    1. "Activated" if you want to activate RouteIQ for the user

    1. "Deactivated" if you want to deactivate RouteIQ for the user

            

  1. Import the RouteIQ_Users.csv into RouteIQ's User Management.

  1. RouteIQ will process the file and make the relevant changes.
