Pay periods or payroll cycles help you set the start and end dates for tracking worked hours and payroll calculations. To configure the pay period, you need to update the following details in Zoho Shifts.
- Pay period frequency: The payroll cycle at which the payroll report can be generated. Based on your organization's payroll requirements, legal obligations or compliance, you can choose the pay period for the payroll.
- Pay period start date: The start date of the pay period from which the selected pay period frequency is calculated.
Before you start
To set up the pay period for payroll, you’ll need the Administrator access level or the Manage payroll settings permission enabled.
To setup pay period
- Navigate to the Settings menu in the top-right corner.
- Select Payroll under the Time & Attendance section.
- Click the Edit button at the top-right corner.
- Choose the Payroll Frequency from the dropdown menu.
- Choose the Next Pay Period Start Date from the date picker.
- Click Preview Pay Periods to view and verify the pay periods based on the selected options.
- Click the Save button at the bottom.
- Weekly: Setting this payroll frequency ensures that pay period hours are calculated every week based on the configured pay period start date.
- Bi-weekly: Companies that run payroll every two weeks can utilize this setting. With this setting, all subsequent pay period hours are determined bi-weekly based on the configured pay period start date.
- Semi-monthly: This option will allow you to have two pay periods for a month. Based on the dates configured for the pay periods, the pay period hours are calculated two times a month.
- Monthly: You will be able to choose a specific date from the 1st to the 27th of the month. The pay period will repeat on the same date of each month.
Once you set the pay period, the system automatically generates the payroll reports for the selected pay period.

Note:
If you are changing the existing pay period with a new start date, the pay period will be calculated based on the start date and pay period frequency. If there are any days that don't fall under the selected pay period or previous pay period, it will be changed to custom pay period automatically.
Manage pay period
The Manage Pay Period feature allows you to view, edit, and maintain payroll pay periods with ease. You can modify the dates for a specific pay period using the Manage Pay Period option available under Settings → Payroll. This option also lets you delete pay periods; please note that deleting a pay period will automatically remove all future pay periods as well.
You can check the status of all pay periods, including whether they are finalized, by navigating to
Settings → Time & Attendance → Payroll → Manage Pay Period.
Finalization of pay periods is handled separately under
Timesheets → Payroll, giving you full control and visibility over your payroll timelines.
