Reports in Zoho Shifts provide a consolidated view of how your employees are scheduled and their time is tracked. Additionally, you can monitor changes made across your account using audit reports.
Before you start
To access reports of your organization, you’ll need Administrator access level or specific Reports permission enabled.
To access reports
- Go to the Reports tab.
- Select a required report in the left pane.
You can apply filters for schedules and employees, and set date ranges to narrow the report data and focus on specific teams or time periods.
Most reports can be printed or exported for further analysis by using the Print/Export option in the top-right corner of the report. While exporting, you can also protect the exported file with a password.
Reports available in Zoho Shifts
Zoho Shifts offers reports across scheduling, time tracking, and audit activities.
Scheduled hours: Using the scheduled hours report, you can review how employees are scheduled for different schedules and positions and check the workload distribution. The scheduled hours report shows the total scheduled hours and the total shift count of employees based on the selected filters (Schedules, Positions, and Date range).
Time off: Using the time off report, you can review how much time off employees have taken under each time off type, within a specific period.
Employee availability: Use this report to identify employees available for last-minute callouts or replacements and to review availability before creating schedules. Availability is calculated based on unavailability preferences, scheduled shifts, and time offs.
Skill expiry: Identify employees’ skills or certifications that are nearing expiration for compliance reasons.
Worked hours: Review employees' worked hours using Worked Hours By Schedule and Worked Hours By Employees. The Worked Hours by Schedule report shows aggregated total working hours along with cost breakdowns for each schedule. The Worked Hours by Employee report groups and displays the total worked hours and costs for each employee.
Scheduled vs. actual: Identify employees who have been under- or overworked in your organization. This report shows the scheduled shifts and the actual working hours for a selected date range. You can use this report to assess differences between planned and actual work hours, including unscheduled shifts, and to understand how those differences affect labor costs and scheduling.
Attendance: This report shows attendance data for employees, including scheduled shifts, no-shows, and late clock-ins, based on your
time clock settings. Based on employee turn-up rates, the report also shows each employee's attendance and late percentages. You can check individual attendance by clicking an employee’s name. The individual attendance view shows detailed shift-level information, including shift date, schedule, position, shift time, clock-in and clock-out times, and late clock-in duration (in minutes).
Audit Logs: Track actions performed in your Zoho Shifts account using the Audit Logs report. This report provides visibility into organization-level changes within a selected date range, including who performed the action, what action was taken, and when it occurred. In addition to Audit logs, Zoho Shifts also provides the following audit reports for deeper tracking:
- Schedule audit: This report helps you track updates to schedules and shifts, including details on schedules created, updated, and published.
- Timesheet audit: This report shows changes to timesheets, including clock-in/clock-out data and manual edits.
