Importing Email Files to Trident (macOS)

Importing Email Files to Trident (macOS)

Trident lets you import PST and EML files stored on your Mac so you can read and manage their contents directly inside the app. Imported emails are stored locally on your Mac and are never synced to Zoho's servers.

This is useful if you're migrating from Outlook, accessing archived emails, or retaining emails for legal or compliance reasons without adding them to your mailbox.

InfoNote: This article explores importing emails to the Trident desktop app. Click here for the Zoho Mail web help documentation.

Importing an Email File

To import an email file:

  1. Click your profile image in the top-right corner of the app.

  2. Select Settings from the drop-down menu.

  3. Navigate to Mail > Import Email Files.

  4. Click Import.

  5. Browse for the file on your Mac and click Open.

  6. If you imported a ZIP/TGZ archive, you need to select a folder location to extract the archive to and click Save. The file then will be imported to Trident.

  7. If the import file is password-protected, you will be prompted to enter the password before the import begins.

Notes

Notes:

  1. EML files must be provided as ZIP/TGZ archives. Individual EML files or folders are not accepted.
  2. Only email conversations are supported from imported PST files. Contacts and calendar events stored in PST files cannot be accessed in Trident. OLM and OST file formats are not supported.
  3. You can import email files and access them on Trident even without an internet connection.
  4. Importing a PST or ZIP/TGZ archive does not consume mailbox storage. The emails are accessed directly from your Mac and are not uploaded to Zoho's servers. There is no file size limit for importing.

Managing Your Imported Email Files

Canceling an Import in Progress

While an import is running, a status indicator appears in the Import Email Files settings. You can click Cancel at any point to stop the import.

Removing an Imported Email File

To remove an imported file from Trident:
  1. Click your profile image in the top-right corner.

  2. Select Settings from the drop-down menu.

  3. Go to Mail > Import Email Files.

  4. Hover over the file you want to remove.

  5. Click the More Options icon.

  6. Select Remove.

  7. Confirm the action by clicking Remove in the alert.

Notes

Notes:

  • Removing an imported PST file from Trident only disconnects it from the app. The original file on your Mac is not affected.

  • Removing an imported EML file from Trident deletes the extracted folder that was created on importing while the original ZIP/TGZ archive containing the EML files on your Mac is not affected.

  • Upon signing out of Trident, the imported email files will be removed and must be re-imported again on sign-in.

Renaming an Imported Email File

To rename an imported file:
  1. Click your profile image in the top-right corner.
  2. Select Settings from the drop-down menu.
  3. Navigate to Mail > Import Email Files.
  4. Hover over the file you want to remove and click the More Options icon.
  5. Select Edit.
  6. Enter the new name and press return.

Accessing Imported Emails

After a successful import, the imported email files appear under the On my Mac section in the folder pane. Its folders follow the same structure as the original file. Click the imported file to view the emails stored inside it.

Right-clicking an imported file in the On my Mac section gives you options to rename and remove the file.

Deleting Imported Emails

Upon deleting an imported PST email, it will be permanently deleted from both Trident and the original PST file on your Mac. This cannot be undone. Trident will ask you to confirm the action before deleting.
On deleting an imported EML email, it is only deleted from the extracted folder while it is preserved in the original ZIP/TFG archive.

Relocating a Corrupted or Moved File

If Trident cannot locate an imported PST file on your Mac, you can either remove it or browse to its new location from the error prompt—there’s no need to delete the record and start over.

However, if Trident cannot locate an imported EML file, an error message will appear in that email’s detail view. It needs to be re-imported from the system.

Searching for Imported Emails

To search for imported emails:

  1. Click the desired imported email file in the folder pane in which you want to search.

  2. Go to the search bar and type your search keywords.
