If you need to migrate terabytes (TB) of data from your local computer, network storage, or external drives to Zoho WorkDrive, TrueSync provides a reliable and efficient way to upload your data while preserving your local folder structure.
This article explains the recommended migration process, prerequisites, and best practices for migrating large datasets using TrueSync.
Before you begin
WorkDrive also supports cloud-to-cloud migration from several popular cloud storage providers.
- If you want to migrate data from Google Workspace, Dropbox Business, or Microsoft OneDrive (Microsoft 365 Business Standard), contact WorkDrive Support to enable the built-in migration tool for your team.
- To migrate from Zoho Docs, use the built-in migration tool. Refer to Migrate from Zoho Docs to WorkDrive.
- To migrate from Google Drive, refer to the dedicated Google Drive migration help article.

Prerequisites
Before starting the migration, make sure the following requirements are met:
In WorkDrive
- Log in to or sign up for Zoho WorkDrive.
- Create the required Team Folders where the data will be migrated.
- To use Sync Desktop Folders in TrueSync, ensure the user performing the migration has the Admin role in the destination Team Folders. Sync Desktop Folders also allows users to upload files to their My Folders.
- Verify that your WorkDrive team has sufficient available storage.
To check available storage:
- Web app: Admin Console > Dashboard
On your computer
- Install and sign in to the latest version of TrueSync.
- Ensure the computer has uninterrupted internet connectivity throughout the migration.
- Verify that the data source (local folder, external drive, or network drive) remains accessible during the migration.
- Keep your computer powered on and prevent it from entering sleep mode until the migration is complete.
Migrate data using TrueSync
You can migrate data stored in:
- Local folders
- External storage devices
- Network drives
To migrate data:
- Install and sign in to TrueSync.
- Configure the application.
- Use the Sync Desktop Folders feature to map your local folder to the required WorkDrive Team Folder or My Folders.
- Start syncing.

Before starting the migration:
- Create Team Folders based on your organizational structure and migrate data into the appropriate folders.
- If you’re migrating a large dataset, distribute it across multiple Team Folders instead of uploading everything into a single Team Folder.
- Migrate business-critical data first, followed by less frequently used data.
- Perform the migration during non-business hours whenever possible to minimize file activity.
- Inform your team members about the migration schedule and provide a point of contact for any migration-related issues.
Best practices during migration
While the migration is in progress:
- Keep the TrueSync application running until all files are uploaded.
- Do not remove or disconnect synced desktop folders while synchronization is in progress.
- Avoid stopping synchronization during active uploads.
- Avoid restarting the TrueSync application unless necessary.
- Avoid restarting or shutting down the computer while files are still being uploaded.
- If you’re migrating files from a network or external drive, ensure the drive remains connected and use the fastest available connection for optimal transfer speed.
Best practices after migration
After the migration is complete:
- Verify that all folders and files are successfully uploaded to the destination Team Folders.
- Organize files within Team Folders if required.
- Once synchronization completes, team members can begin collaborating on the migrated content.
For optimal synchronization performance:
- It is recommended to maintain 300,000 to 500,000 files and folders (combined) per Team Folder.
- If your migration exceeds this recommendation, split the data across multiple Team Folders before starting the migration.
- Larger datasets may increase synchronization time depending on the available system resources and network bandwidth.
Troubleshooting
If you encounter any issues during the migration:
- Ensure the TrueSync application remains active.
- Verify that the source folders are still accessible.
- Confirm that sufficient storage is available in WorkDrive.
- Ensure you have sufficient permissions to access the local folders mapped for syncing.
- If the issue persists, generate and send the TrueSync logs to WorkDrive Support.
