Manage connected devices in WorkDrive

Manage Devices

Team Admins can view and manage all of their team members' connected devices from anywhere in the world. They can view details of connected devices, set app permissions, and disconnect or wipe and disconnect devices remotely.

Support for managing devices is only available in WorkDrive's Business plan. Check the details of all plans of WorkDrive here.

View connected devices

View and manage all your team members' devices that are connected to WorkDrive's desktop and mobile apps. You can view information like their last accessed date and time and the IP address of their devices.

To view connected devices of members:

1. Click Admin Console in the bottom-left corner of your WorkDrive account.
The Admin Console page will open in a new tab. Dashboard will be selected by default.

2. Select the Manage Devices tab in the left panel to open it on the right.
By default, all members in your team will be listed. You can sort the members by Number of devices or Name. You can search for members by their name or email address.

For each member, you can see the total number of connected devices.

3. Hover over a member's name and click the Settings icon.
Under Connected Devices, you can see all the connected devices of that member. For each connected device, you can see the following information.
  1. Device name
  2. App type (Desktop or Mobile)
  3. Last accessed date and time
  4. IP address
  5. Location

Set permissions for desktop and mobile apps

Set permissions for each member in your team whether they can use WorkDrive's desktop and mobile apps to access files. Once you disable apps for any member, they can no longer access WorkDrive files via these apps.

To set permissions for WorkDrive apps:

1. Click Click Admin Console in the bottom-left corner of your WorkDrive account.
The Admin Console page will open in a new tab. Dashboard will be selected by default.

2. Select the Manage Devices tab in the left panel to open it on the right.
By default, all members in your team will be listed.

3. Hover over a member's name and click the Settings icon.
Under App Permissions, you can see the options to allow or restrict members from using desktop and mobile apps.

4. Toggle ON/OFF Allow Desktop Sync apps.
Enable this option to allow the member to use WorkDrive Sync and TrueSync apps to access files.

5. Toggle ON/OFF Allow Mobile apps.
Enable this option to allow the member to use WorkDrive mobile apps for Android and iOS devices to access files.

  1. When both Desktop Sync and mobile apps are disabled, your team members can only use the browser to access WorkDrive files.

  2. If you want to set app permissions at a team level, go to Admin Console > Settings > WorkDrive Apps. If disabled, all team users will not be able to use WorkDrive apps. Learn more

Disconnect or wipe and disconnect devices

Disconnect a member's device (log out user from the app), or wipe offline files and disconnect a member's device remotely from WorkDrive's mobile or desktop app. You can also wipe and disconnect all of the member's devices at once. Members can regain access to their files via WorkDrive apps after signing in to their WorkDrive account again.

To disconnect or wipe and disconnect devices:

1. Click Admin Console in the bottom-left corner of your WorkDrive account.
The Admin Console page will open in a new tab. Dashboard will be selected by default.

2. Select the Manage Devices tab in the left panel to open it on the right.
By default, all members in your team will be listed.

3. Hover over a member's name and click the Settings icon.
Under Connected Devices, you can see all the connected devices of that member.

4. Hover over a device name, then click the Settings icon.

For desktop apps, you will have these two options:
  1. Disconnect device
  2. Wipe and Disconnect device
For mobile apps, you will have this option:
  1. Wipe and Disconnect device
5. Select Disconnect device if you just want to temporarily log out the member from the app in the connected device.
6. Select Wipe and Disconnect device if you want to remove all synced or offline files from the device and log out the member from the app.
7. Click Wipe and Disconnect all devices at the top of the Connected Devices section to remove all synced or offline files from all the connected devices and log out the member from all the apps.

Based on your selection, devices will be scheduled for disconnect or wipe and disconnect actions.

Action failures:
The disconnect or wipe and disconnect actions may get failed due to the following reasons:
  1. Device is not online or the WorkDrive app is not running.
  2. File deletion can get failed when files are kept open by other applications or if WorkDrive app does not have the delete permission.
Supported app versions:
Only the latest versions of the Desktop Sync apps (Sync and TrueSync) support the device management feature.
For mobile apps, the device management feature works best in the latest versions.
