Client Users in WorkDrive

Client users are external users added to your WorkDrive Team with limited roles and permissions. Team admins can add client users to the required Team Folders from the Admin Console.

You have to buy licenses for client users separately as an add-on. Member licenses cannot be used to purchase client user licenses. Click Add Licenses in the right sidebar of the Client Users tab to buy new client user licenses.

Client users will have access to My Folders. No separate storage will be allotted for them. The shared team storage will be available for client users similar to team members.

Client users can access WorkDrive's web and mobile (iOS & Android) applications. Desktop apps are not supported.

Invite client users to your team

  1. Click Admin Console in the bottom-left corner of your WorkDrive account.
    The Admin Console page will open in a new tab. Dashboard will be selected by default.
  2. In the left sidebar, click the Client Users tab. This action will display the list of existing client users by default.
  3. In the top-right corner, click the INVITE CLIENT USERS button. The Invite New Users dialog box will appear with three entry boxes.



  4. In the first box, enter the email addresses of the users you want to add. You can add multiple users by entering multiple email addresses separated by commas.
  5. In the second box, enter the Team Folders you want the users to be part of and provide them with the required role.
  6. In the third box, you can optionally set the expiration date until the client user will have access to your Team. Once expired, the client user will automatically be removed from your Team and the added Team Folders.
  7. Finally, click the INVITE CLIENT USER button at the bottom.
Notes
  1. Client users cannot be given an Admin role in a Team Folder.
  2. You can filter the list of client users to view active, invited, deleted, and suspended client users. This can perform this action by clicking the dropdown arrow next to Licensed Client Users in the top-right corner, then choosing one of the following filter options:
                        Licensed Client Users
                        Active Client Users
                        Invited Client Users
                        Suspended Client Users
                        Deleted Client Users

Suspend or delete client users

  1. Open Client Users tab in the Admin Console. This will display the list of existing client users by default.
  2. Hover over a user and click on  to perform the following actions:

  3. Delete User: Deleting the client users will remove them from your team and disable all links they have shared.
  4. Suspend User: This will prevent the client user from signing in to the team account, and all of their previously connected devices will be disconnected from WorkDrive apps. You can activate or delete their account later.

Manage client users

As a team admin, you can manage client users' status, expiration date, and roles in Team Folders, and add or remove them from any Team Folders within your team.

To manage client users:
  1. Open the Client Users tab in the Admin Console.
  2. Click on the name of a user to open the Settings and Permissions page.
  3. Click the  icon next to Account Status to change the status of the client user.
  4. Click the  icon next to Account Expiration to set or edit the expiration date of the user.
  5. In the Team Folder Permissions section below, click Add Team Folders to add the client user to another Team Folder within your team.
  6. To change the role of a client user in a Team Folder, hover over the user's current role and click the dropdown arrow, and select the role you want to assign from the dropdown.

Restrictions for client users
  1. Client users cannot create new Team Folders or join public Team Folders by themselves.
  2. Client users cannot add or remove another client user to or from Team Folders.
  3. Client users cannot share files and folders with another client user.
  4. Groups are not supported for client users.
  5. Desktop Sync apps (WorkDrive Sync and WorkDrive TrueSync) are not supported.
  6. Client users are not supported yet for WorkDrive accounts that are part of the Remotely bundle.
NotesCurrently, Client user licenses must be purchased offline for WorkDrive accounts that are part of the Zoho One and Workplace bundles.

When a Zoho Projects account is integrated with WorkDrive's Essentials plan, client users added in Projects will be added to WorkDrive automatically for free.

Export Client User Information  

You can export a comprehensive list of your client users and their details from the Admin Console.

To export client user information:

  1. Click Admin Console in the bottom-left corner of your WorkDrive account.
    The Admin Console page will open in a new tab.  
  2. Select the Client User tab in the left pane. By default, this will list Active members. To change the list, click the member dropdown tab and choose the client user type you wish to export (e.g., Licensed, Invited, Suspended, Deleted). The screen will update to list the chosen members.
  3. Click the Export button from the top panel.The export process will begin, and you will receive a bell notification once the export is complete. You can find the exported file in the My Exports folder, under My Folders tab.


The exported file will contain the details for the selected group of client users, including the following fields:
  • Client user name

  • Email address

  • Added by

  • Status

  • Member role

  • External sharing option in My Folders

  • Is Template Admin

  • Folders Count in My Folders

  • Files Count in My Folders

  • Storage limit in My Folders (GB)

  • Storage used in My Folders

  • Storage used in My Folders (bytes)

NotesNote: To export a specific type (e.g., Suspended client user), ensure you select that group from the dropdown before clicking Export.
