Collection Settings

Enable or Disable Collections


Within the admin console, there are several options to control the sharing permissions of a team, including the ability to enable Collections. Cases may arise where a team requires certain files from external sources, or there’s a need to submit files between different teams within the same organization. 

 

To enable Collections:

  1. Go to the Admin Console in the bottom-left corner of your WorkDrive account. The Admin Console page will open in a new tab. Dashboard will be selected by default.

  1. Go to the Settings panel of the Admin Console.

  1. Select Sharing. 

  1. Toggle Enable Collections on to enable your teammates to create collections.

  1. Choose who gets to create collections in WorkDrive:

    1. Anyone on the Team

    2. Team Admins only

On the flip side, there are times when it’s better to disable the collection of files due to having an already established file sharing system and thus don’t need another layer in collections.

To disable Collections in your team:

  1. Go to the Admin Console in the bottom left corner of your WorkDrive account. The Admin Console page will open in a new tab. Dashboard will be selected by default.

  1. Go to the Settings panel of the Admin Console.

  1. Select Sharing.

  1. Toggle Enable collections off.


Note:
Once Collections have been disabled for a team:
  1. Existing collections links will stop working. External users will not be able to access the collection links to upload files.
  2. New collection links can't be created.
  3. Collection owners will still be able to access the collections created by them and the files collected. However, they won't be able to modify the collection settings anymore.

For the sake of identification, you can switch between the collection creator’s name or the team name. This is helpful in cases when you’d want an external party to recognize the organization you represent. Similarly, it would be easier just to go with your name for internal communication.

To choose a display name:
  1. Go to the Admin Console in the bottom left corner of your WorkDrive account. The Admin Console page will open in a new tab. Dashboard will be selected by default.

  1. Go to the Settings panel of the Admin Console.

  1. Select Sharing.

  1. Under the Enable collections section, go over the second option, Choose which name you want to display to external users in the collection link view.

  1. Select which name to display when you link the collection to external users:

    1. Collection creator’s name: Displays the name of the collection and its creator.

    2. Team name: Displays the name of the collection and the team it’s from.
