Quickly preview files to check their content before downloading, and download files or folders to your system whenever you need offline access. This helps you save time, avoid unnecessary downloads, and keep your work moving without switching tools.
Preview a file
Preview lets you view a file’s content so you can quickly verify details or scan through documents, and even comment and collaborate on them.
To preview a file:
Right-click the required file and select Preview. The file will open in preview mode.
Alternatively, select the file, click the More actions icon in the top action bar and Choose Preview from the dropdown.
You can also select the file and press Space bar on Mac, or Enter on Windows and other systems to open your file in preview mode.
While previewing, you can use the left and right arrows to move between other files in the same folder.
Zoho WorkDrive supports preview for 220+ file formats. You can view the complete list of supported file types and their limitations in the supported files section.Download a file
Downloading a file allows you to store it on your system.
To download a file:
Right-click the required file and select Download. The file is downloaded to your system.
Alternatively, you can select the file, click Download in the top action bar.
Once downloaded, you can open the file on your system and use it as needed.
Download a folder
Downloading a folder lets you save all its contents at once for offline access.
To download a folder:
Right-click the required folder and select Download.
Alternatively, you can select the folder, click Download in the top action bar.
The selected folder will be zipped and downloaded to your system.
You can open the zip file to view and access the files inside.
Similarly, you can download multiple files and folders together.
The selected files and/or folders will be zipped into a folder named Zoho WorkDrive and downloaded to your system. You can change the zip name while saving, if needed.
Downloading large or multiple items
When downloading large volumes of data, the action may be scheduled instead of processed instantly.
A download or zip action will be scheduled if:
The total number of items is equal to or greater than 1000
Overall size is equal to or greater than 500 MB
Once the scheduled action is completed, we will send an email with action details.
For download actions, a download link will be attached in the email. The download link will only be valid for 48 hours.
If some files were unable to be zipped, you would find the name of these files in the file Skipped_Files.txt within the zipped file.
For zip actions, a zip link will be attached in the email.
Limitations in downloading
Download or zip actions cannot be performed in the following cases:
The total number of first-level files and folders (excluding subfolders) exceeds 2,000.
The overall download size of the selected items is more than 20 GB.
A zip file created within WorkDrive exceeds 5 GB.
The overall item count (including files, folders, and subfolders) exceeds 65,536.
For external users:
There is no download size limit for a single file.
