Ask questions from individual files with Zia

With Zia, you can ask questions directly from your uploaded files. You can ask any question about a file, and Zia will provide a precise answer drawn directly from the file's content. This helps you quickly find specific information without manually scanning through lengthy documents.

Pre-requisites  

To use Zia features, your Team Admin or Super Admin must have activated Zia by setting up the Zoho AI service at the team level. Learn how to activate Zia settings

Ask questions from a file

  1. Open the desired file in Preview mode.
  2. Click the Zia icon in the right pane.
    The Zia panel will open.
  3. Under the What you can do with Zia section, select Ask questions from this file. A question box will appear.


  1. Enter your question (for example, “What are the sales numbers from this report?”).
    Zia will display an answer based on the file’s content.
     

View answer sources

You can also view the source from which the answer was generated at the bottom of the response.
For PDF files, click a source to view the corresponding section highlighted in the document.
For audio and video files, sources are shown with timestamps. Clicking a source highlights the relevant timestamp.


Share the generated answer  

You can save the generated answer as a Writer document in WorkDrive and share it with others instantly.
  1. Click the Share icon at the bottom of the answer.
  2. Rename the document, if required.
  3. By default, the document is saved in My Folders. Click Change and select your preferred location from the dropdown.
  4. Click Upload and Share. The generated answer will be uploaded as a Writer document and saved to your WorkDrive.
  5. The Share dialog box will open. From here, you can instantly share the document using the same sharing options you normally use in WorkDrive.

Save the generated answer

You can save youre generated answers to revisit, edit, and share the content later.
To save the answer:
  • Click Save at the bottom of the answer.
  • Rename the document and choose any location to save it as per your preference.
  • Once done, click Upload. The generated answer will be uploaded as a Writer document and saved to your WorkDrive.

For Zoho AI

Audio & Video Files: Up to 1 GB
All Other Formats: Up to 10 MB

For OpenAI

General: Up to 512 MB per file
Spreadsheets & CSV: Up to ~50 MB per file
Images: Up to 20 MB per file
