How to track merge status and handle errors in Zoho Writer

Overview 

You can track the status of the merge jobs using email notifications and the merge logs. While email notifications help you track the merge initiation and completion status, the merge logs help you track the status of jobs in progress, along with granular details such as the number of records merged successfully, debug info, custom function execution status, record-specific status, and more.

Prerequisites 

  1. You must either be the owner of the merge template or it should be shared to you.
  2. You must have enabled the merge status notifications at the template level or at your account level to receive email notification
  3. You must be the one who initiates or schedules the merge job to receive the email notifications.
  4. The output option should not be "Merge as a new document".

Steps 

 1. How to enable or disable merge status email notifications? 

1. Open the desired Writer merge template.
2. a. To enable or disable the notifications only for this template
      1. Go to Automate on the top toolbar.
      2. Scroll down to the Finish section and check or uncheck the "Notify merge start & finish" option.

                                                                            


    b. To enable or disable the notifications at the account level
      1. Click the Settings icon located at the top right corner, beside the Zia button, and click More Settings.
      2. In the Settings dialog that opens, go to Notifications and check or uncheck the notification for merge initiation or merge                  completion option as required, and click Save.



 2. How to view merge logs and deluge/custom functions logs 

Merge logs 
1. a. Open the merge status notification email and click the merge logs URL mentioned in it.
Or,
1. b. Open the template that you used for the merge operation. On the top toolbar, go to the Automate --> Finish, and click the View Log button.
2. In the merge logs window that opens, you can view: the merge logs and deluge/custom function logs.
3. In the merge logs you can view details such as:
  1. Overall Merge Status (Initiated, completed, in-progress, etc.)
  2. Custom Function Status
  3. Merge status: Total number of records successfully merged vs failed
  4. Output status: Total number of records for which the merge output was processed successfully vs failed
4. To view the logs specific to each record, click the relevant record from the list displayed below the merge and output status.
 
Deluge Logs 
1. Open the Merge Logs window using the steps above.
2. Go to the Custom Function Status field to provide the status of the custom functions (Deluge/DRE) added in the merge templates.
3. To view the Deluge or custom function logs, click the View Debug Info link. You can see the details of the custom functions executed, along with error messages of functions that did not execute properly.


 

 3. What are the common merge errors and how to handle them? 

There merge operation could be interrupted or fail due to different reasons such as insufficient permissions, server issues, and API limitations. The table below lists some of the common causes for a merge failure and how to handle them.

Mail limit reached. You have reached the daily mail limit of 1000.

Failed to create attachment.

The email could not be sent. Please try again.

Mail Merge Permission revoked. Permission to mail merge has been revoked. Contact admin.

1002

Record permission revoked. Access to records for mail merge has been revoked. Contact record owner/admin.

One of the lookup fields used as an email address does not contain a valid value. Adding a lookup record in the CRM entity from which the customer initiated the mail merge will resolve the issue.

Internal error occurred. Error while sending email. Contact support@zohocrm.com

Failed to fetch the related list data.

1012

Daily mail limit for your mail merge exceeded.

1018

Document length exceeding 7 lakh characters won't be processed in mail merge.

Unable to download the attachment.

Folder not found or improperly configured for document storage.
