How to create a Calendar event?

Calendar events are a great way to schedule meetings in advance.

Web and Desktop 

You can create a Calendar event in web and desktop app by doing the following:
  • Click the Calendar events icon in the header bar of Cliq.
  • An All Events dialog will appear. You can view a list of upcoming or ongoing events or create one by clicking the Create Event button.
NotesNote: Only your events for the next 15 days will appear in the list. To view all events, go to the Calendar.
In the Create dialog that appears-
  1. If all the members are physically present in the same location, select Face-to-Face meeting. You can enter the following details of the event -
  • Name - Type the name of the meeting. The maximum characters you can type is 255.
  • Date & Time - Choose the date and time from and to. To set up recurring reminders, simply check the 'Repeat' box and choose the frequency: daily, weekly, monthly, or yearly. Additionally, you can specify the end date for the recurring events.
  • Location - Type where you want to conduct the meeting or click on "+Select Room" to start a meeting from a room using the Cliq Rooms app.
  • Assign to - Select who you want to assign the meeting to : Participants(username/mail ID) or Conversation(channels)
  • Alert Type - Select an alert type from the following options : None, Remind Just Me (5,10,15 mins), Include Zia.
  • Agenda - Type a small description on the purpose of the meeting.
  • Attachments - Attach from Cloud or Upload from Computer.
 
  b. If you are remotely located and want to interact real time, select Online Meeting. Apart from the options available in the Face-to-face meeting, you can also select -
  • Meeting mode - You can select Audio or Video call, tick the box to Record the meeting, and also Add Co-hosts and Add Speakers.
  • Permissions - You can also set permissions on who can Start Screen share or Access Grid view and also set General Configurations.

Events for big chats and channels 

When you schedule an event in a chat or channel, all participants are typically added as attendees by default. However, for channels or chats with more than 300 participants, this approach is impractical. Here's how we handle event scheduling in such large groups:
  1. Attendee Management
    • Co-hosts and Speakers: Only co-hosts and speakers will be automatically added as attendees when you create an event in a large channel or chat.
    • ParticipantsIn an event, all users in the conversation automatically become participants. For events with a large number of participants in a chat or channel, attendees can choose to confirm their attendance by updating their RSVP status.
  1. RSVP Process
    • An event details message card will be posted in the channel or chat.
    • Participants can click on the event details message card and update their RSVP status.
    • Clicking 'Accept' will add them as attendees.
  1. Joining the Event
    • Even without updating their RSVP, participants can still join the event.
    • A link to join the event will be provided in the thread of the event message card.
This streamlined process ensures that managing large events remains efficient, and participants can easily opt-in to attend.

Mobile  

You can create a Calendar event in mobile by doing the following:
  1. Navigate to the Calendar icon at the bottom of your Cliq mobile app.
  2. You will see a list of events scheduled for that are categorized for a particular date.
  3. Select the + icon to create an event and select the type of meeting you want to create (Face to Face, Audio or Video).
  4. Enter the respective details and click on Schedule. Your event will be created and you can join the event via your web or desktop app.
