Export a Manual as a PDF

Exporting a manual as a PDF in Zoho Learn allows you to share content offline, distribute it externally, and maintain a consistent, printable version of your manual. You can also customize the layout of the exported PDF and secure it with a password.

Exporting manuals as PDF helps you:

  • Share manuals with users outside Zoho Learn

  • Provide offline access to learning content

  • Maintain a fixed, non-editable version of your manual

  • Apply consistent branding and layout across manuals

  • Archive manuals for reference or compliance needs

Notes
Draft articles, embedded PDFs, and empty chapters are not exported.

Only published articles with content are included in the exported PDF.

How to export a manual as PDF  

  1. Navigate to the manual you want to export.

  2. Click the Manual Options.

  3. Select Export.

  1. In the export popup, choose PDF Export.

  1. Click Edit Template to customize the PDF layout.

  1. Click Export.

A message appears indicating that the export is in progress. You’ll be notified once the export is complete.

How to download the exported PDF  

  1. After the export is complete, click Download PDF.

  1. Optionally, enable password protection for the PDF and click Download.


The PDF file is now downloaded to your device.

Customizing the PDF export template  

You can add manual name, chapter name, article name, or custom text to the PDF header/footer and customize text and background colors in the export template.

To customize a PDF export template:

  1. Open the manual and click the Manual Options.

  2. Select Export.

  1. Under PDF Export, click Edit Template.

  1. Configure the required settings:

    • Manual cover

    • Chapter cover

    • Article cover

    • Header and footer

  1. Click Save.

Notes:

  • The PDF export template is applicable for both manual and article PDF exports.

  • Template changes apply to all future PDF exports.

  • If manual content is updated after export, re-export to reflect the latest changes.
