Zoho Sign now helps users send envelopes to a group of people and have any member of the group sign the document on behalf of the group. 

Consider a scenario where someone from your organization's legal team has to sign the agreement. When you send this agreement to a particular recipient and they are unable to sign the document due to their unavailability, a signing group can help you distribute the document signing task rather than depending on a single person.

How to create a signer group

This action can only be performed by administrators. If you're an administrator, follow these steps:
  1. From the left navigation pane, hover on Settings and click Account settings.
  2. Select Signer groups from the left pane and click + Create group.
  3. Enter the group name and add the recipients. Enter their phone number if you wish to send the document delivery link via SMS or set SMS OTP as the authentication method.
  4. Once you are done adding the recipients, click Add.
  1. At present, the signing group is unavailable in Zoho Sign's mobile applications and will not be available for in-person and witness signing.
  2. You cannot have more than 10 members in a signing group and can create up to 10 groups.

How to send a document to a group

  1. Click Send for signatures or select a template. Learn how to create a template.
  2. Enter the first character of the group name in the Name text box under the Add recipients section, the signing group will be listed.
  3. Select the group, and if needed, you can add additional recipients to the document workflow by clicking +Add recipient.
  4. If you are done with the settings, click Continue to be directed to the document window.
  5. Once you are done adding the signer fields, click Send > Confirm.

How to track documents sent to a signing group

  1. From your Zoho Sign dashboard, hover on Documents and click In progress or Completed and select the document.
  2. Click the signer group to check who has signed the document. The same information will also be present in the completion certificate.
