Zoho Sign integration for Gmail

Zoho Sign now provides an add-on for Gmail that allows users to sign documents and set up e-sign workflows for collecting signatures and obtaining approvals on paperwork directly from their inbox. Using this add-on, users can add documents from their email attachments to Zoho Sign and quickly sign them or send them out for signatures.
This add-on can be installed from the G Suite Marketplace, and accessed by users inside their inbox by toggling the collapsible add-on side pane. Once installed, the add-on is available for use inside the Gmail app across all supported platforms - web, iOS, iPad OS, and Android.

Prerequisites:

  1. Valid Gmail account
  2. Valid Zoho Sign account

Steps to install the Zoho Sign add-on in Gmail:

  1. Log in to your Gmail account.
  2. Click the add-ons icon on the right pane in your mailbox.


  3. Search and select Zoho Sign for Gmail from the G Suite Marketplace overlay.


  4. Click Install.


  5. Click CONTINUE in the subsequent dialog box.



  6. Select the Gmail account to install the add-on in.


  7. Click Allow to grant Zoho Sign access to your Gmail account.



  8. Your add-on is now installed and ready for use.

Steps to access the Zoho Sign add-on in Gmail:

  1. To get started, open an email.
  2. Click the Zoho Sign icon on the right hand pane in your mailbox.


  3. Sign in to access your Zoho Sign account.


    If necessary, you can use your Gmail account, via Google single sign-on, to sign in to Zoho Sign.


    Or, you can just sign in to your Zoho account to access Zoho Sign.


  4. Click Accept when you are asked to grant the add-on access to your Zoho Sign account.



Steps to send documents for signatures using the add-on:

  1. Open the email containing the attachments that need to be sent for signatures.


  2. Select the attachments that need to be sent for signatures, then click Send for sign.


  3. Click Add recipients.


  4. Enter the recipient name and email address.



  5. Choose the necessary recipient action from the Action dropdown.


    If you choose IN-PERSON SIGN, enter the host's name and email address below the recipient details.



  6. Select the required mode of authentication from the Authentication mode dropdown.


  7. Add a private message, if required, and verify all the details associated with the recipient, then click Add.


  8. Add more recipients, if required, and leave a common note for all the recipients. To view a recipient's details, click View next to their name.


    You can delete a recipient when viewing their details by clicking DELETE at the bottom.


  9. Once the sign workflow has been completely set up, verify all the details and click Continue.



  10. Upon the documents being successfully uploaded to Zoho Sign, the add-on pane will display "Document uploaded! Click here to continue." Click the link to open the workflow in Zoho Sign, where you can edit it, add signer fields to the documents, and send it out for signatures.


Steps to sign documents yourself using the add-on:

  1. Open the email containing the attachments that you need to sign.

  2. Select the attachments that you need to sign, then click Sign yourself.


  3. Upon the documents being successfully uploaded to Zoho Sign, the add-on pane will display "Document uploaded! Click here to continue." Click the link to open the documents in Zoho Sign, where you can add your signature and other fields of information, and finish signing it yourself.


Steps to view your Zoho Sign document details using the add-on:

  1. Toggle the Zoho Sign add-on while viewing an email.
  2. Click the actions icon at the top-right corner of the add-on pane.
  3. Select All Documents from the dropdown.



  4. A list of your Zoho Sign documents will be displayed, along with the document status and recipient details for each document. Clicking on a document will open its Detailed Document View in Zoho Sign.


Steps to uninstall the Zoho Sign add-on in Gmail:

  1. Toggle the Zoho Sign add-on while viewing an email.
  2. Click the actions icon at the top-right corner of the add-on pane.
  3. Click Manage add-on.


  4. Hover over Zoho Sign for Gmail and click Uninstall from the actions dropdown.


  5. Click UNINSTALL APP in the subsequent dialog box to complete the uninstallation.
