Understanding RPA Subscription Plan Limits

This guide explains the general limits associated with the RPA paid plan. Refer to the pricing page for a complete breakdown of features, pricing, and overall limits.

1. RPA flow

An RPA flow is a workflow you create to automate tasks. It consists of a trigger and a sequence of actions performed on applications, web browsers, cloud apps, and so on.
Trigger: Events that kickstart the workflow (e.g., hot key, schedule trigger).
Actions: Steps the workflow performs (e.g., clicking an app button, typing text).

Note : For Cloud app actions, the limits will be as per your subscription plan with Zoho Flow.
RPA flow limits
Maximum actions per RPA flow: One workflow can have a maximum of 149 actions. Consider breaking down complex workflows into smaller ones if you reach this limit. Contact support with a detailed use case for a higher limit.
Number of RPA flows: You can create an unlimited number of flows in your account. 

2. RPA flow executions

This section explains how RPA flow executions are counted and how to determine your organization's needs.

What counts as an execution?
An execution occurs when:
  1. Your workflow is ON (turned on for production use).
  2. A trigger initiates the workflow.
  3. All actions in the workflow complete successfully.
Failed attempts don't count towards your limit.

RPA flow execution limits

Paid plans include 500 executions per month. If you exceed this limit, you can purchase add-on for additional executions. Check the pricing page for details.

Understanding execution calculations

  1. Failed executions: If your flow fails during a step (e.g., opening an application), it doesn't count. 
  2. Error branch success runs: When an error branch is configured and the flow completes successfully through that error branch, it is counted as a one execution.
  3. Successful re-runs: If you re-run a flow successfully after a failure, it counts as one execution.
  4. Nested calls: Calling another RPA flow within your flow (using Invoke URL) counts as two executions (one for each flow) if both are successful.
Avoiding infinite loops
Proper flow design is crucial. Avoid situations where workflows call each other repeatedly, creating an endless loop. Use branching and conditions to control flow execution and prevent this.

Determining your needs

Consider how often you want to automate your RPA flows each month. Every successful run counts as one execution. Our platform provides analytics (dashboards and execution history) to help you track usage and determine if you need add-on packs.

RPA flow execution limits reset

Your RPA flow execution limit resets monthly, regardless of whether you have a monthly or yearly subscription.
For monthly or yearly subscription, your RPA execution limit refreshes each month on your renewal date.

3. Subscription and renewal

Subscribe to Zoho RPA 

To unlock the full potential of Zoho RPA, you can upgrade your trial or free plan with a paid subscription.
Online Upgrade: Click your profile picture in the top-right corner of your account, then select Upgrade or Subscription to view your current subscription details and upgrade options.

Purchasing Additional Executions (Addons)

If you anticipate exceeding your execution limit before your next monthly reset, you can purchase additional RPA flow executions
  1. Refer to our pricing page for detailed information on add-on pricing.
  2. For example, if you require 1,800 additional executions, you can purchase one 1,000 execution add-on, one 500 execution add-on, and three 100 execution add-ons

Subscription Renewal 

  1. If your subscription starts on June 10th, 2025, it will renew on July 10th, 2025 and every subsequent month.
  2. Yearly subscriptions renew on the same date annually.

Note: Any unused executions or add-ons remaining at your monthly reset date will be reset. Execution limits do not carry over to the next month.

Execution Limit Notifications and Grace Period

To help you manage your execution usage, we provide timely notifications:
  1. Notifications are sent when your usage reaches 70%, 90%, and 100% of your allotted limit.
  2. As a courtesy, we offer a grace period of a few additional RPA flow executions beyond your limit, allowing time for payment processing.
  3. Once the grace period is exhausted, all flows will fail with a license error.

Zoho One - Subscription and Limits

If you are using Zoho RPA as a part of Zoho One, you will be provided with 150 RPA flow executions per organization and an additional 50 executions for each employee per month. You can check Zoho One's plan details for more information.

1. What subscription plans are available in Zoho RPA?
Currently, we offer one subscription plan: the Standard plan. We also provide a free plan that you let you explore the product.

2. What's included in the 15-day trial, and how does it help me to understand if Zoho RPA is the right fit?
The 15-day trial provides full access to all the features of the platform, allowing you to evaluate Zoho RPA thoroughly. You can: build flows using drag-and-drop or our powerful recorder, integrate with cloud applications, debug your automations, monitor performance, and write custom business logic with Deluge for a complete automation building experience. This enables you to determine if Zoho RPA meets your specific requirements. After the trial, you can choose to upgrade to the Standard plan to continue using these features or switch to the free plan.

3. Can I extend my trial?
Yes, you can extend your trial once directly through your account. You'll be prompted to provide a brief reason why you need more time, which helps us understand your evaluation. If you've already used your one-time extension and need more time, please contact our support team at support@zohorpa.com with details about your use case and the specific features you're exploring. We'll review your request and assist you further. 

4. How do I upgrade from a free trial or free plan to a paid subscription?
Log in to your Zoho RPA account. Click your profile picture in the top right corner. Then, click on "Subscription " or "Upgrade" to view your subscription options or upgrade your plan.

5. Can I cancel my subscription at any time?
Yes, you can cancel your subscription. Our pay-as-you-go model allows for this. Please check this document for more details on our refund policy.

6. Do I get a refund if I cancel my subscription? What is the refund policy?

7. Does the purchase of additional add-ons affect my billing cycle?
No, your billing cycle remains the same. However, the cost for the current billing cycle will be adjusted (prorated). For example, if your total amount was $44 and you added $100 in add-ons, your total for that month will be $144. Your subsequent monthly billing will then be your standard plan amount ($44), plus the ongoing cost of the add-on ($100), totalling $144

8. Can I purchase add-ons multiple times in the same month?
Yes, you can purchase multiple add-ons within the same month. This will increase your flow limit. However, you'd need to note that the flow execution limits will reset in your next renewal date. 

9. Can I use cloud app actions in my RPA flow? What limits apply?
Yes, you can use cloud app actions in your RPA flow. Cloud app actions in Zoho RPA is powered by Zoho Flow. Therefore, the limits are based on your subscription plan with Zoho Flow.
