Am I missing something?

I'm trying to navigate quickly between applications now that I'm all set up. But I'm starting to realize that I've either set it up wrong, or I don't understand something fundamental. My problem is with contacts, and emails. There are a lot of different ways to access these. From Gmail, from Sales In box, from contact manager and from zoho mail. But none of those services link in with my crm. Zia doesn't see any of my contacts anywhere, and I'm generally having a very difficult time making it work as I suspect it should. Can anyone help?
