Audit Trail and New Version History in Zoho Sheet

Audit Trail and New Version History in Zoho Sheet

Two new features related to collaboration have recently been added to Zoho Sheet.
New Version History:
We have revamped our Version History to provide you better insights as to what changes have gone into each version and who has made those changes. This gains importance when you share your spreadsheets with your co-workers and work in a collaborative environment.

The new Version History, which is accessible from File menu as well as the Review tab, opens up a pane on the right side that displays the versions/revisions of the spreadsheet with the most recent ones on the top. You can see the timestamp when it was created as well as the users who had contributed to that version. Clicking on a version will load that version of the spreadsheet with the changes automatically highlighted with colored lines at the top of the modified cell. Each collaborator on the spreadsheet is given a color and the changes are highlighted in that color. You can also view the list of changes made in a particular version by clicking the 'Changelog' link beside the selected version on the right side pane. The screenshot inserted below should be self-explanatory. Click on the image to view it in its original size.

We maintain the recent 100 auto-versions as well as all versions that have been created manually (using File > Create Version). With this release, you can also Name a Version that was automatically created. This will be helpful when you want to refer to it at a later date. And versions that have been created or named manually will not be deleted automatically. They will be maintained unless you explicitly delete that version or delete that spreadsheet itself.

Audit Trail:
The new ' Audit Trail' functionality lets you view and review the changes that have gone into the spreadsheet. Using Audit Trail, you can view the last 1000 edits that has been done on the spreadsheet. You can see what has been changed, when and by whom. 'Audit Trail' is available under the 'Review' tab. Each edit in the listing links to the affected range in the corresponding version. Clicking on it will take you to the corresponding range in that version of the spreadsheet.  You can even filter the edits by User or by Date on which it was done or by Worksheet / Range, giving you more control over your spreadsheet.

Below is a screenshot of Audit Trail. Click on the image to view it in its actual size.

We hope these new additions are useful to you, especially if you are collaborating with your co-workers.
Next, we will also bring in email notifications ( optional)  when a collaborator modifies your spreadsheet.

We also added couple of other features: Tab Colors and New Symbol of Indian Rupee
.
