Conditional Formatting Enhancements

Conditional Formatting Enhancements

We have been supporting conditional formatting in Zoho Sheet for more than 11 months now. We support setting rules on Numbers, Text, Data, Cells containing blanks, and errors. We also support setting specific formats based on the result of a Formula. This could be very powerful and could be used to color whole rows based on the value on a particular column. For example, you can define a formula criterion to color alternative rows of a table or to highlight rows if the date in one of the columns falls on a weekend and so on.

Last week, we made a few enhancements to Conditional Formatting. Here are the changes and improvements:
  • We have now changed the Create Rule and Manage Rules as separate items under Conditional Formatting. The default click on the button will be to create a rule. You can open the drop down next to the button to access the Manage Rules functionality.

  • Managing Rules has now become easier. Deleting a rule (with up to 3 criterias) is now made simpler with the menu next to each rule (see image below). We also allow you to copy a rule and apply it to a different range.

  • You can now set a Strikethrough format for your cells in addition to bold, italic, underline, fill and text colors while defining the conditional format. This could be helpful for cases like a task management sheet where you want to strike a row when the task is closed.

Here is a sample interactive spreadsheet that uses the new Strikethrough setting. This is a task management spreadsheet and lists the tasks. Changing the Status to Closed, will automatically strike out the entire row and apply a lighter text color. And it uses the formula option while defining conditional format so as to strike out the entire row. You can check the formula used in the above screenshot itself.

There is an additional formula based rule to set the color of the first column (Red, Orange, Green) corresponding to the priority of the task (High, Medium, Low). Again you can see the formula used in the 2nd screenshot above.

Here is the interactive spreadsheet. Feel free to play around with the data or key in data up to row 20 and see Conditional Formatting in action.
