Improving Zoho Creator's email deliverability

Hi all,

We're pleased to announce updates to email handling in Zoho Creator to improve the deliverability of the emails sent from the Creator platform. These updates have been designed keeping in mind the fact that emails from domains with strong sender reputations achieve higher delivery rates and better engagement.

What changes are being made?

We're introducing a re-routing mechanism for public and unauthenticated custom domain email addresses, which are used as from addresses in Zoho Creator’s send mail actions in workflows, form submission notifications, or send mail Deluge tasks. Public domains include popular email providers like Gmail, Yahoo, and others.

Why the change?

We're implementing this change due to new requirements introduced by Google and Yahoo. Furthermore, public domains are vulnerable to spammers and malicious entities who exploit email systems to send large volumes of emails to unsuspecting people.

What do I need to do?

Public domains
If the from email address is from a public domain (such as Gmail or Yahoo), we'll send the emails through our own address (notifications@mailer.zohocreatormail.com for paid users and
notifications@trial.zohocreatormail.com for trial users). This proactive step ensures uninterrupted communication and business continuity. However, to ensure optimal reliability for email delivery, we recommend using your own domain.
NotesNote: If you have a custom domain email (e.g., name@yourcompany.com) hosted on Google Workspace, it will not be considered a public domain address and will be unaffected.
Unauthenticated custom domains
If the from address is a custom domain address (like admin@zylker.com) but the domain has not yet been authenticated, then your recipients will receive the email from our address (notifications@mailer.zohocreatormail.com for paid users and
notifications@trial.zohocreatormail.com for trial users).

This behavior will continue until the specific domain (zylker.com in the above case) has been authenticated. Once done, emails will be sent directly. Domain authentication ensures that the emails from the domain are authenticated and trusted by email providers. This step is crucial in preventing your emails from being marked as spam or rejected, thereby improving your overall email deliverability.

To authenticate your domain, visit the Domain Authentication section under Email Management within the Operations module. For more information, visit the Manage Domains help doc.

Limitations 

Paid users will have no email limit restrictions, while trial users can send up to 50 emails per day using this mechanism. Once this limit is reached, emails will not be sent from your trial account.

Who does this apply to?

  • Users: The update will be applicable for both C5 and C6 users across all DCs.
  • Developers & Partners: The update will also be applied to custom apps built on Developer Console accounts.
NotesNote for portals: Please ensure that you replace any public or unauthenticated custom domain email addresses used as the from address that may be used within the portal. 

On our part, to avoid any impact on rebranded apps, the rerouting mechanism will not be applied to the portal email notification feature in portal settings. However, to ensure optimal reliability for email delivery, we recommend using your own domain.

When does it come into effect?

This update is effective today (19-Sep-2024) for trial users. For paid users, we'll roll out the update on October 15, 2024.[Update: We’ve extended the deadline for your convenience, and the update is now set to be rollout out on 23-Oct-2024.]
