Introducing Workflow Automation in Zoho Invoice

Introducing Workflow Automation in Zoho Invoice

Hi folks,

Zoho Invoice is glad to announce yet another feather to its cap - Workflow Automation.

Yes, to those who wished for this feature, it is now available :) and to the rest, its a surprise treat that's going to make your work easier ;)

Have you ever felt bugging to monitor, if there are any Estimates created with enormous discount margin? Have you ever wanted to automate an email whenever such an estimate is created in your organization?
Or, has it ever been painful to update a custom field of an Estimate, whenever your customer accepts or declines it?
Did you ever wish you could receive a webhook to your custom application, whenever an estimate is accepted?

Here's how Zoho Invoice eases your work. You can create a Workflow Rule in Zoho Invoice to shoot out a mail, say whenever an estimate is created with discount percent more than a value X; a workflow to update a custom field value when an Estimate status is changed; a workflow that triggers a webhook when an estimate is created, and so on..

The Automation wraps up Workflows and the Actions that can be triggered - viz., Alerts, Field Updates, Webhooks.
  • With Alerts, you can customise your own email content and give the email addresses to which the notification has to be mailed.
  • Field Updates offers you to update a field upon certain actions. Say, you would want to update a custom field whenever an Estimate is accepted.
  • Webhooks, as widely known for what it is, serves the same purpose here. You can provide the URL which the webhook has to hit.

Hurry up! Hit the Gear like settings icon in your Zoho Invoice organization and click on 'More Settings' option. Navigate to the ' Automation ' section on the left pane and you would be seeing four sections  namely Workflow Rules, Alerts, Field Updates  and  Webhooks . (Refer the attached GIF animations)

You can straight away go with creating the Workflow Rule, and associate the actions by creating them on the fly.

Refer this help link to know more about Workflow Automation.

Workflow Automation is now available only for the 'Estimates' section of Zoho Invoice. We welcome all your suggestions and feedback so that we shall enhance it upto your requirements and expectations going forward.

Regards,
Pavithira - Zoho Invoice
