  • Team Folders 

    Easily manage complex collaborative projects with your teams. A Team Folder is like a virtual bucket that you create for a particular project, purpose, or department, where you and your team can store and collaborate on files. Team Folders let you edit shared files and folders within a team or organization by helping you assign the right permissions to the right people. You can create public Team Folders, for everyone on the team to access common resources, and private Team Folders, for exclusive projects or assignments. 


  • Fine-Grained Access Controls 

    Zoho WorkDrive comes with  clearly defined roles and responsibilities, so everyone on the team knows what's expected of themselves and their teammates. Every Team Folder has four different roles: 
    • Admin - By default, the creator of a Team Folder is its admin. The admin can add and remove members, add, edit, rename, move, and share files and folders, and manage Team Folder settings. 
    • Organizer - Organizers can add new members to a Team Folder and also add, edit, rename, share, and move files and folders within the Team Folder.
    • Editor - Editors can view, add, edit, and rename files and folders.
    • Viewer - Viewers can view, copy, and download files, and also add comments to them. 
  • External Sharing 

    Share your team files with individuals or groups outside your organization while retaining control over the original documents. You can share files as links and track their activity  to see who accesses, edits, downloads, or shares the contents of the file.
  • Customizable File Links
    Generate different external sharing links for any file or folder within a Team Folder, and customize them by applying link properties like password, expiration date, and access permissions.
  • Track File Activity
    Gather statistics on who's accessed the link you've shared.  If you've given edit permissions for the link, you can also see the number of downloads and shares. You can also gather your recipients' data by making the name and email fields mandatory. 

2. Decentralized Roles and Responsibilities


Zoho WorkDrive lets people at different levels in the organization take control of their team files.  This feature is designed to help team leaders delegate ownership, and team members understand their responsibilities with respect to work assigned, providing a clear, supportive working environment. 
  • Lead your Team 

    Get an overview of your team's storage space, top team folders and members by usage, pending invites, file activity timeline, and a lot more right from your Admin Dashboard. You can even generate customizable activity reports on all the events that happened on your team during a specific period of time.  
  • Manage Team Folders
    As the Admin or Organizer of a Team Folder, you have complete control over all files and folders stored within it. You can view the timeline for all activities performed, and delete Team Folders once your project finishes or if your team doesn't need it's contents anymore. 
3. Seamless User Experience and Productivity Tools
  • Zoho Office Suite 

    Zoho WorkDrive is integrated with Zoho Office Suite, a combination of three powerful online editors (WriterSheet, and Show) that let you flexibly create and collaborate on documents, spreadsheets, and presentations, anytime and from anywhere. 
  • Drafts
    Files in a Team Folder, created using Zoho Office Suite, remain as drafts and are accessible by other members in the Team Folder only after you mark them complete. This gives you the time and freedom to work on your drafts without other team members viewing or commenting on them too soon.
  • My Folders
    We provide you with an exclusive spaceMy Folderswhere you can work on documents independently, store personal files, or keep a record of projects undertaken. When you want to get your team involved, you can share the required files with specific team members or move them to a Team Folder so everyone has access. 
  • Contextual Unread Notifications
    Members of a Team Folder can focus on their content and, at the same time, be in perfect sync with each other about every change made, with the help of contextual Unread Notifications.
  • Global Bell Notifications
    Get notified only when it's important to you. Global bell notifications notify you whenever someone creates a public Team Folder you may be interested in, shares a file or folder directly with you, or mentions you in a comment.  
  • Universal Content Search 
    Forget having to manually wade through documents to locate your files when working with multiple teams on diverse projects. Use the search bar and apply filters such as date, location, and file type to find what you want. 
  • Folder-First Approach
    You don't have to do any workarounds to sort and organize your data. With our folder-first view, you see your folders first, then the list of files you have stored. 
  • Thumbnail Preview
    You can quickly see a thumbnail view of any file before you open it, and also increase the preview size if you want to see it in a larger size.
  • Breadcrumbs
    Breadcrumbs helps you understand your current location and makes it easier for you to move around and trace your way back to previous locations in WorkDrive. Our file creation and upload buttons are contextually placed so that you always know where you're creating your files.
  • Accessible Permalinks
    If you want to share your content on social media, or if anyone wants access to your files, you can easily share permalinks to your content with just a click.
