Job Status Categories

Job Status Categories

As you may already know, every job opening record in Zoho Recruit has a status associated with it. These statuses state what stage the job openings are in so recruiters can track their hiring process better.

In Zoho Recruit, Job Opening Statuses are mainly classified into two categories: Open and Closed . Open statuses indicate the job opening is active and closed statuses indicate the opposite. All system-defined statuses (default statuses) are classified under the above-mentioned categories based on their applications.

Yet, Custom Statuses would always be categorized as Open regardless of their usage. This led to instances where the status’ name and application would mean that it was closed but the job opening would be marked active. For example, if a recruiter creates a custom status named “ Lost to Client ” to say that the job order has been lost to a competitor and associates it with a job opening, the job opening will stay Active rather than being marked Inactive .

As a result, these job openings would add to the Active Jobs Tally and the recruiter would have to manually change the status of these job openings to a closed status to continue with their recruitment process.

To fix this, we’ve made custom statuses categorizable too. Here's how to do this:
  • Navigate to Setup > Customization > Modules > Job Openings > Layouts
  • Hover over the Job Opening Status field and click on Settings > Edit Properties
  • Click on the + icon to add a Custom Status and give it a name
  • Click on the Open tag to change it to Closed

  • Click on Done
  • Then click on Save Layout
Now, navigate to the Job Openings module.
  • Click on the Job Opening you want to associate with your new Custom Status
  • Click on the Change Status icon
  • Select your new Custom Status from the drop-down and click Save
  • You can now see that your job opening has been closed
Additionally, you can also filter Job Openings and create Custom Views using their Status Category.
  • Navigate to the Job Openings Module
  • You can filter your existing records to view only Open / Closed job openings using the filter provided on the left
If you use this filter frequently, you can create a Custom View that does the same.
  • Go to the Job Openings Module
  • Click on the View dropdown and click Create View
  • Specify the View Criteria and click Save

  • You can now select your Custom View whenever you need to filter you job openings
These minor improvements work wonders because they come from you. Feel free to let us know if we can make any other improvements to make recruitment easier for you. You can reach out to us at support@zohorecruit.com.

Happy hiring!

Regards,
Team Zoho Recruit
