The Power of Automation - Part 1 (Notifications)

The Power of Automation - Part 1 (Notifications)

Over the years, projects have increased in complexity. Workflows are dynamic and the number of people involved is huge. With numerous stakeholders, both internal and external, in play, collaboration is the key. How do you connect the dots? How do you stay on top of such a complex engagement?

Zoho Projects has the answer. With our automation settings you can configure Notifications for your bugs. Create email templates and get notified every time a bug is created or modified.

Inside a project, navigate to Bugs->Bug Settings->Automation and toggle the switch to turn the notifications on or off.

Benefits:

1. Set alerts and stay on top of all issues.

2. Avoid too many notifications.

3. Alert only relevant stakeholders.

What events will trigger notifications?

Based on your business needs you can set notifications for various bug events. By default, notifications are sent to relevant users when a new bug is created, a bug is assigned to a user and when a bug's status is updated. In addition to these, you can choose to receive alerts for other bug activities such as closing or deleting a bug or remove existing notifications based on your business needs.

Who will receive notifications?

You can choose to notify either the project owner, the assignee, bug reporter or the followers. Simply check all the boxes to notify everyone. You could also choose to notify project or client users.

Can I check if I will receive notification for a specific bug event?

With the in-built notification helper a user can check if a specific bug event will trigger notification. From the Bug Settings page, click Other Actions and select Notification Helper. Select the user, the required bug and the notification event, and then submit to check if the user will receive notification.

      • Tip: How to print the Gantt View

Though we move from the traditional project management system (using papers) to an online project management system, we still prefer to have a printed copy of the activities/tasks that are to be done in the project. This way, we can carry the to-do lists with us for the meetings and refer when we are offline. The print option, available at the right side of the page, allows the users to print the project information across all the modules. However, this option failed to print all the tasks & milestones

      • Four types of task dependencies

"Nothing is particularly hard if you divide it into small jobs."                                                                                                                  - Henry Ford Projects, small or large, are driven by simple work units called tasks. Monitoring standalone tasks might look simple but as the workflow becomes elaborate, tasks may start relying on one another. In project management, this relationship between tasks is termed as "Task Dependencies". • Task Inline Editing Enhancement

Hi All, Today, we have made an enhancement in task inline editing. In 4.0, task edit is moved in a single screen in a pop-up. We designed this in-order to make the task edit across the product to be the same. Let it be in Feeds, Tasks & My Tasks tab, Calendar & My Calendar tab, a click on the task title will open the popup and user can edit the values. Customers pointed us the inline editing was very useful to them & how much they miss that in 4.0. Based on the feedback, we have rolled out this enhancement.
