Time Tracking Using Timesheets

Time Tracking Using Timesheets

Timesheets can be used for logging in number of work hours a user has spent on a task or a project. You can specify the start and end time or the duration of the task. These time entries can be used for tracking resource utilization, calculating employees' work load, billing, and project costing.

Log work hours: Work hours can be logged on a daily or weekly basis. Users can specify start and end time for their tasks if necessary or simply enter the duration. Users can also select if the task is billable or non-billable when adding log hours.

Time can be logged from the Edit Task or Edit Bug page too. Click Log Hours and enter the time. You can also log hours using the Calendar. Click the timer icon and enter the details.

Timer for tasks: Users can start the timer when they begin working on a task and once the task is completed the timer can be turned off. The duration will be logged automatically.

Approvals: Setup times sheets for approvals so that Portal Admins and Managers can approve the logs before they are submitted.

Can I view the number of hours my employees are spending on their work?

You can view the number of hours each user spends on their respective projects with the Group by User feature. The users are listed alphabetically and under each user the projects and their logs are sorted in reverse chronology.

Can I pull up records for the previous year?

You can pull up records from any date using Custom Date feature. Just select the start and end dates and ensure that the dates are within a 6 month period. At the portal level this feature will list out records for all the users and their projects and associated tasks. When the custom date is applied to a specific project the users and their associated tasks and bugs for the project alone are displayed.

Can I view time sheet records of all my projects?

Admins and Managers can view the time sheet of all active projects in their portal using the Project Report feature. It gives a bird's eye view of the total number of hours spent on each project. By default, the records are shown for the entire duration of the projects. You can use custom dates to view records for a particular time period. The start and end dates need to be within 12 months range.

Can the time sheet be sorted by client name?

Admins and Managers can use the Client Report feature to see the time sheet records segregated based on clients associated with the portal. The records are pulled up for a period of 12 months. You can use custom dates to view records for a specific date range within the 12 month period.

Some of my employees are not billable and don't log their work hours. Can I view the time sheet of only users who log their time?

The filter gives you the option to select between logged users and unlogged users or both as per requirement.

Can I export time sheets to a file?

The Export Timesheet feature lets you export data to a .CVS or .XLS file. You can also export the data to a PDF using Export to PDF. Timesheets can be exported for both archived and active projects.

      • Tip: How to print the Gantt View

Though we move from the traditional project management system (using papers) to an online project management system, we still prefer to have a printed copy of the activities/tasks that are to be done in the project. This way, we can carry the to-do lists with us for the meetings and refer when we are offline. The print option, available at the right side of the page, allows the users to print the project information across all the modules. However, this option failed to print all the tasks & milestones

      • Four types of task dependencies

"Nothing is particularly hard if you divide it into small jobs."                                                                                                                  - Henry Ford Projects, small or large, are driven by simple work units called tasks. Monitoring standalone tasks might look simple but as the workflow becomes elaborate, tasks may start relying on one another. In project management, this relationship between tasks is termed as "Task Dependencies". • Task Inline Editing Enhancement

Hi All, Today, we have made an enhancement in task inline editing. In 4.0, task edit is moved in a single screen in a pop-up. We designed this in-order to make the task edit across the product to be the same. Let it be in Feeds, Tasks & My Tasks tab, Calendar & My Calendar tab, a click on the task title will open the popup and user can edit the values. Customers pointed us the inline editing was very useful to them & how much they miss that in 4.0. Based on the feedback, we have rolled out this enhancement.
