Tip#13 【Zoho CRM】誕生日の挨拶を自動送信する

みなさん、こんにちは。
今回は営業担当の方におすすめしたい、Zoho CRMの誕生日お祝いメールの自動送信について紹介します!

他の営業担当と少し差をつけるには、顧客とのビジネス関係性の中に、いかにプライベートなやりとりを加えられるか、ではないでしょうか。
例えば、特別な日に割引クーポンを贈ったり、誕生日のお祝いメッセージを残したりと、小さなことですが、これらはあなたがお客さまのことを大切に思っていると伝える重要な行動です。そしてこのような行動は、相手からのリターンを期待せずに行われるものです。

 営業担当の方は多くの取引先と関わっており、そして彼ら全員とFacebookやソーシャルチャネル上で友達である可能性は非常に低いでしょう。

それならば、ビジネスツールのZoho CRMで誕生日を管理してみてはいかがですか?
また、日々の業務に追われ、個々にメッセージを作成することが出来ない場合に備えて、お祝いのメール文を自動化してみるのはいかがでしょうか?ある顧客にだけ、お祝いのメールを送りそびれる、という事態も防ぐことができます。

では実際に、Zoho CRMで顧客への誕生日のお祝いメールを自動送信するTipを紹介します。手順は次のとおりです。

◎誕生日のお祝いのテンプレートを作成
(メールテンプレートは無料プランからご利用いただけます)

1.1 設定 > カスタマイズ > テンプレート > +新しいテンプレート > タブの選択で「見込み客」か「連絡先」を選択して、メールテンプレートを作成

  • テンプレートギャラリーから選択するカスタマイズテンプレート
    テンプレートギャラリーの「ベーシック」から基本となるテンプレートを選択します。


  • HTMLを使ってカスタマイズしたテンプレート
    テンプレートギャラリーの右上にある「HTMLコード/テキストの入力」をクリックして、HTMLコードやテキストを追加または編集します。


1.2 完成したら、右上の「保存」をクリック。




◎誕生日のお祝いメール送信を自動化するためのワークフローを作成
(ワークフローのメール通知を利用して送信できる1日あたりのメールの件数はプランによって異なります。詳細は1日あたりの制限に関する注意事項をご覧ください)

2.1 設定 > 自動化 > ワークフローのルール > +ルールの作成 > 見込み客/連絡先タブのルールを作成(今回は連絡先タブのルールを作成)


2.2 ワークフローをいつ実行するか選択。今回は「日時」を選択
(指定した日時に設定する機能はプロフェッショナルプランからご利用可能です)
2.3 実行日に「誕生日」項目を選択
2.4 繰り返しの期間を「毎年」に設定


2.5 条件(1)を「すべての連絡先」に設定
(または、メールを送信したい連絡先の条件に応じて「条件に一致する連絡先」を設定する)


2.6 顧客の誕生日をトリガーにして、誕生日のお祝いメールテンプレートを送信するようにワークフローを設定

すぐに実行する処理 > メール通知 へ進み設定を行います。

  • 受信者:連絡先の「メール」
    (メール通知の宛先を顧客のメールアドレスに設定する機能は、プロフェッショナルプランからご利用可能です。)
  • メールテンプレート:先ほど作成した誕生日お祝いのメールテンプレート


2.7 設定が完了したら「保存して関連付け」をクリック

2.8 「保存」をクリック



◎誕生日月と誕生日のカスタム項目を作成
(カスタム項目の追加はスタンダードプランからご利用になれます)

 <誕生日月の顧客を表示するビューを作成>
3.1 設定 > カスタマイズ > タブ&項目 > 連絡先に移動
3.2 タブ名右横の三点リーダーから「レイアウト」を選択


3.3 編集したいレイアウト右横の三点リーダーから「レイアウトの編集」を選択


3.4 左側の「新しい項目」から「数式」項目をドラッグ&ドロップ
3.5 この数式項目に「誕生月」という名前をつけて数式を設定
  • 項目のラベル:誕生月
  • 戻り値の種類:小数
  • 関数の選択:Month
  • 項目の選択:「誕生日」項目


「誕生日」項目の生年月日の月を抽出し、この数式の欄に更新します。
※数式項目を作成する前に登録されている既存レコードには、値が反映されません。数式項目の値を反映させる場合は、該当のレコードを編集する等でデータの更新を行なってください。

3.6 同様の手順で、「誕生日」項目の日にちを抽出した項目を作成できます。、この数式の欄に更新します。

3.7 この数式項目に「誕生した日」という名前をつけて数式を設定
  • 項目のラベル:誕生した日
  • 戻り値の種類:小数
  • 関数の選択:Dayofmonth
  • 項目の選択:「誕生日」項目
「誕生日」項目の生年月日の日を抽出し、この数式の欄に更新します。


3.8 設定が終了したら保存
3.9 見込み客/連絡先タブに移動(今回は連絡先タブへ移動) > リストビューのドロップダウンを開く >「+ビューを作成」に進む


3.10 誕生月の値を条件としたカスタムビューを作成、保存

(例)1月生まれの顧客を抽出したビューを作成
  • カスタムビューの名前:1月生まれの顧客
  • フィルター設定:「誕生月」項目が「1」と等しい


3.11 「誕生した日」項目を昇順に並べ替え


3.12 1月生まれの顧客の中でも、誕生日が早い順にレコードが並び替わる


これで、1月生まれのすべての顧客の誕生日がこのビューに表示されます。
