Tip #15: Email Notification on Status Post

Hi,

This week, let's see how to send email notifications to your project users when you post a status. When a new task or bug is added to the project, you will receive an email notification on the same. Why not for status messages? Well, you can send email alerts to your project users right when you post a status.

What is the benefit of sending an email alert to status messages?

Say, if some of your project users have not logged in to Zoho projects. What happens? They will not be notified on the new status post, which might be an important information to be reached within EOD. To avoid this crisis, Zoho Projects lets you send email alerts on status messages to your team members.

2 ways of doing it

You can mention your team in either of the two ways explained below:

Mention your project users using @

You can specify all the project users using the @ mention. To do it:

  1. Click the Status field in the Feeds tab
  2. Type in your status and mention all the project users using '@'

All the project users whom you have specified in your status will receive an email notification.

(or)

Post the status as a forum post

The above method will be little difficult when you want to send the email notification to all the users in your project. In this case, you can rely on this method:

  1. Select the Forums tab.
  2. Mention the Title and Content of your status.
  3. Enable the Make it as announcement check box.

All the project users will receive an email notification on your status.

How to send direct/private status to the users in your project?

In Zoho Projects, you can send private status to specific users in your project. This will be notified in the dashboard of the users and is not visible to other users in the project. Like, if you want to share your feedback on their work, payment details, critics etc.

  1. Type in the status and mention the specific users.
  2. Enable the Send as Direct Message check box.
