Tip #19: Automatiza la aprobación de entrada de registros

Hoy os traemos un nuevo tip CRM que podéis utilizar para agilizar la entrada de registros, ahora que muchos de nosotros nos encontramos trabajando fuera de la oficina. Os recordamos que este tip forma parte de nuestra serie de Tips and Tricks para CRM en español - y que podéis aprender de los otros consejos haciendo clic aquí.

Tip #19: Automatiza la aprobación de entrada de registros.
En ventas se pueden manejar datos sensibles, como son los descuentos para tratos o los ingresos anuales de una empresa. En estos casos, es posible que necesites aprobación de tu superior para que estos datos queden plasmados en el CRM, y si este proceso se hace manualmente, puede llevar a largas esperas, fallos en la comunicación, o en general, en menor eficiencia. Por ejemplo: en este estado de trabajo remoto ya no es posible llamar rápidamente a tu compañero de enfrente, y los correos, llamadas de teléfono o chats pueden no ser la mejor opción en este caso. La opción que te sugerimos hoy es la de crear procesos de aprobación y sus respectivas reglas.

¿Qué son los procesos de aprobación y reglas en CRM?
Se trata de una forma de administrar procesos en tu CRM, y en este caso en concreto, de automatizar los procesos de aprobación. Se aplica cuando necesites que los registros se  pongan en cola para su aprobación de forma automática, siempre que cumplan ciertos criterios. Por ejemplo: en el departamento de ventas de la empresa ConsumoCultura los descuentos adicionales que puede usar el equipo son de hasta el 10%. Si necesitan utilizar un descuento mayor en el trato o presupuesto, deben consultarlo con dirección. O lo que es lo mismo, el proceso y su regla de aprobación son: los registros del campo Descuento que cumplan la condición de ser mayores que 10%, deben enviarse para aprobación a Dirección.

Para crear el proceso de aprobación:
  1. Accede a Configuración > Administración de Procesos > Procesos de Aprobación.
  2. Haz clic en el botón Agregar proceso de aprobación.
  3. Crea el proceso de aprobación, añadiendo el módulo al que quieras aplicarlo, un nombre, y en qué casos quieres que se aplique - al crear o editar registro. En este caso, el módulo será Tratos, y marcaremos creación y edición de registro.


Para crear una regla asociada a este proceso de aprobación:
  1. Haz clic en el botón Agregar regla a este proceso.
  2. Diseña la regla de aprobación:
    1. Indicando la(s) condicion(es) que debe cumplir el registro para que se active la regla. En este caso, que el descuento marcado sea mayor a 10.
    2. Determina quién aprobará o rechazará el descuento. En este caso, será la persona con el rol de Manager.
    3. Determina tareas para los tres posibles estados de la aprobación del descuento: antes de la aprobación (recordatorio al Manager para que apruebe o rechace el descuento); al aprobarse el descuento (cambiar el estado de Aprobación de descuento a Aprobado); y al rechazarse el descuento al aprobarse el descuento (cambiar el estado de Aprobación de descuento a Rechazado).
    4. Guarda la regla y el proceso.
