Tip #7: Different types of Reports in Zoho Projects

This week, we shall see the different types of reports that are available in Zoho Projects and their usage. The reports that we have are...

  • Gantt chart 
  • Resource utilisation chart
  • Planned vs actual
  • Task report

We have consolidated and given you easy tips as to how to land quickly on these reports and make the best use of them.

Gantt chart :
A gantt chart is a visual representation of the overall status of the project in terms of time and milestones.
  • To view Gantts across all projects, go to Home >> Reports & Gantt Charts
  • To view Gantts within a specific project, go to Projects >> Your project >> Tasks >> Reports & Gantt Charts
You can choose to view the Chronology Gantt if you wish to view the status of the tasks alone. Else you can choose to view the Milestone Gantt if you wish to view the project status based on the tasks, tasklists, and milestones as well.
 
Feature availability:
  • Enterprise edition : Maximum privilege | Available within and across projects | Gantts are editable
  • Premium edition :   Restricted privilege | Available within a project only | Gantt is editable within a project
  • Express edition :    Restricted privilege | Available within a project only | Gantt is view-only within a project

Resource Utilization chart:
The Resource utilization chart helps you to know how loaded your peers are. You can plan the work items more efficiently and delegate work better with the help of this chart. 

  • To view Resource utilization across all projects, go to Home >> Reports & Gantt Charts  >> Resource Utilization
  • To view Resource utilization within a specific project, go to Projects >> Your project >> Tasks >> Reports & Gantt Charts >> Resource Utilization

  • Enterprise edition : Maximum privilege | Available within and across projects
  • Premium edition :   Restricted privilege | Available within a project only
  • Express edition : NA

Planned vs Actual hours:
The Planned vs Actual feature helps you to measure productivity in terms of hours and understand whether the resource is ahead or behind the schedule accordingly.

  • To view Planned vs Actual within a project, go to Projects >> Your project >> Tasks >> Reports & Gantt Charts >> Planned vs Actual

Feature availability:
Available in Enterprise and Premium editions only.

Task Report:
Get a bird's eye-view of the open and closed tasks in your project based on owner, milestones, and priority in Task Report.

  • To view Task Report within a specific project, go to Projects >> Your project >> Tasks >> Reports & Gantt Charts >> Task Report

Feature availability:
Available in all editions. 


Timesheet report:
It is possible to export timesheets within and across all projects in XLS and CSV formats.

  • To export timesheets across all projects, refer here.
You can also export these reports to a PDF file by selecting the Export to PDF option.

Available in all the paid editions.


Project summary report:
  • Navigate to the project dashboard and click the project progress bar to your right.
  • The colorful bar graph representation gives a clear picture of the planned, logged and the overrun hours for all your tasks.

        I believe that sorting of tasks helps managing the activities in a better fashion. You might second it too . By default, the tasks are listed chronologically. However, you can sort the tasks either by its title, start date, end date, priority, created by and percentage completion.
