Tip of the week #7 - Secured and private shared inboxes



There were days when teams managed group emails by creating an inbox and sharing its credentials with the team. Imagine how much your security is at risk in this method. Also when a member leaves you should change the credentials to avoid external access completely. With shared inboxes you don't have to share credentials anymore, instead share inboxes and create a transparent, yet secure work environment for your team.
 
Create shared inboxes 

Connect your email groups with shared inboxes in Zoho TeamInbox and add your team as members for this inbox. They will now be able to view, reply, and discuss on email threads. Every member will have their own account and credentials to access the inbox. When a member leaves, you can just remove them from the team or organization so the inbox will not be accessible to them anymore.
 
Also no one who is not a member of your inbox can view your threads unless you share them.
 
Keep everything under the control of the admin

The admin decides the roles and permissions of every member in the team and inbox. For instance, if an inbox member is not given the privilege to make a reply, they will not be able to draft a response whatsoever. We call such a role, 'Observer'.
 
Besides this, an org admin can view every happening of the organization. Be it replying to a thread, assigning it, commenting on it, sharing it, trashing or archiving it, every activity is recorded for the admin to audit.
