How to translate email notifications and reminders in Zoho Bookings?

Are you serving customers all over the world?

If so, you've to work with a diverse set of languages. And juggling between multiple languages is no simple feat.


If you fail to communicate to your audience in their regional languages, they'll move to people who do so.

Because languages aren't just a form of communication, they help you build trust.

Moreover, languages play a vital role in communications, especially email notifications.

So how do you convey vital information to your customers in the language of their choice? By translating your email templates.

How do you do that? Probably one by one or manually.

Though we don't offer a one-click email translation yet, we have a workaround that helps you achieve the same with some manual work.



Notes

  • Existing email templates don't get translated when you use this method. You have to change them manually.
  • We've provided you with translated templates in five different languages at the bottom of this article. The languages available are
    • French
    • German
    • Italian
    • Portuguese
    • Spanish
  • Do note that we recommend using your best judgment and making changes to these translated templates as required.
  • You'll get 12 templates for every language. 6 for Staff and 6 for Customers. Feel free to translate the ones you use. You need not translate all of them for this workaround to work. The following emails are translated.
    • Booked
    • Canceled
    • Rescheduled
    • Mark as Completed
    • Mark as No show
    • Reminder Email

Translating Email Templates - An Overview

Let's get an overview of how this will work.

You'll copy the HTML code of the translated templates (given below) and paste it into our workspace notifications.

From that moment, all the one-on-one services that you create (which belong to that workspace) will inherit the translated templates from their corresponding workspace.

This process ruthlessly cuts down a huge portion of manual work and saves you a lot of time.

Let's do it!

Translating your templates

Check out the video tutorial to translate your email templates.



1. Navigate to Settings > Workspaces. Choose a workspace of your choice.

2. Under this workspace, navigate to 'Notifications.' You'll have two tabs over here. 'For Staff' and 'For Customers'. Click on the corresponding tab depending on your preferences. For instance, I want to translate the 'Booked' email that customers receive.

3. Once you are in the customers' tab, click on 'customize'. A pop-up box will open.

4. Click on 'HTML'. Delete the entire code.

5. Navigate to the translated template that we have given you. Copy the entire HTML without making any changes to the code.

6. Paste it in the empty box from which you've deleted the entire HTML.

7. Click on 'Save'.

Voila, you've translated your workspace email notifications.

From now on, all the services you create will have the customer's booked email notification translated. This is yet another feature where you set things once and forget it exists.

Similarly, repeat the process for all the other email templates.

Going back to English Templates

There might be cases where you would want to revert to the original English templates. If so, you can copy the HTML code from our resources section and paste it into your workspace or service notifications depending upon your preferences.
