What's new in Zoho Backstage - February 2025

Welcome to this month's Zoho Backstage update! While we've rolled out some exciting new features and enhancements, our primary focus this past month has been on enhancing stability and squashing bugs. We've been diligently working behind the scenes to ensure a smoother, more reliable experience for all our users. Let's dive into what's new and the improvements we've made. 

Introducing Event Capacity management in Zoho Backstage 

We're excited to announce the launch of the Event Capacity feature in Zoho Backstage, now available to all customers across all plans. This enhancement empowers event organizers to set an overall attendee limit for their events, providing greater flexibility and control over ticket sales.
 


Why Event Capacity?

Traditionally, ticket sales are managed by setting quantity limits for each ticket class. However, many organizers prefer to cap the total number of attendees, allowing for a dynamic mix of ticket types.
 
For instance:
  • VIP Tickets: Limit of 500
  • Elite Tickets: Limit of 1,000
  • Event Capacity: 600
With this setup, you can sell any combination of tickets up to the 600-attendee limit, such as 500 VIP and 100 Elite tickets, or 90 VIP and 510 Elite tickets.
 
How it works:
  1. Enabling Event CapacityActivate the Event Capacity feature in the Ticket Class tab of your event setup.
  2. Website salesThe system monitors both the event capacity and individual ticket class limits, ensuring ticket availability aligns with your specified constraints.
  3. Adding ordersIf an order exceeds the event capacity, a notification will inform you, guiding you on the necessary steps to manage the situation.
  4. Registration approvalApproving orders that surpass the event capacity will trigger an alert, providing options to address the overage appropriately.
  5. Attendee importWhen importing attendee lists, any entries that exceed the capacity limit won't be imported, and a failure reason will be displayed.
  6. Converting missed registrationsHandling missed registrations now considers event capacity, ensuring that converting these to orders doesn't exceed your set limits.
  7. Onsite check-insDuring the event, if check-ins surpass the capacity limit, an alert will offer options to temporarily or permanently increase the capacity to accommodate additional attendees.


Info
If attendees attempt to complete payment after the event has reached its capacity, they'll be notified that the event is full and advised to contact the event organizer for further assistance.
  

Sales milestone notifications for event organizers

Stay informed about your event's ticket sales progress with sales milestone notifications!

 
You can now receive automatic notifications when your ticket sales reach specific milestones or when sales have concluded. This feature enables you to make timely decisions, such as increasing ticket quantities or adjusting your promotional strategies.



 

To enable sales milestone notifications:
  1. Navigate to the Registrations > Registration Settings > Notifications tab from the Dock.
  2. Enable the option Get notified on sales milestones.
  3. Choose between:
    1. For All Ticket Classes
    2. For Selected Ticket Classes
  4. Specify the percentage milestones at which you wish to receive notifications.
Once configured, the primary contact for your event will receive notifications when ticket sales reach the designated percentages and when sales have ended.

  • Informed decision-making: Use real-time data to decide whether to increase ticket availability or adjust marketing efforts.

Clone events across spaces  

Previously, event organizers could duplicate events within the same space. With the new Clone to Space feature, you can now copy an existing event from one space to another. This means you can maintain consistency and save time by reusing event structures, agendas, and settings across various departments, teams, or regions.


 
Benefits:
  • Efficiency: Reduce repetitive tasks by cloning complete events, including sessions, speakers, and agendas, to new spaces with just a few clicks.
  • Consistency: Ensure uniformity in event experiences across different spaces by replicating proven event formats and content.
  • Customization: After cloning, easily tailor specific details to suit the unique audience or objectives of the new space without starting from scratch. 
To clone events across spaces:
  1. Open your Zoho Backstage portal homepage.
  2. Open an event’s menu and click Clone. The Clone Event popup will display.
  3. In the Clone to Space dropdown, select a space.
  4. Click Preferences and choose the modules to clone.
  5. Click Clone to complete the process. 
When cloning to a different space, online payment options won't be cloned. If no payment options are configured in the destination space, the payment settings from the portal will be used instead.

  


Session Registration 

(Early Access)
 
The session registration feature goes beyond the standard ticket purchase, offering attendees the option to register for specific sessions that may be paid or free, depending on the event organizer’s preferences. This addition provides organizers with greater control over session access while offering attendees a more tailored event experience.


 
To set up session registrations:
  1. Navigate to Manage > Agenda.
  2. Open the menu of any session and click Manage Registrations. The Manage Registration panel will appear.
  3. Configure the session registration as needed.
  4. Click Done to save the changes.
  5. Republish your event to apply the updates.
