We have been bringing out updates to Zoho Invoice regularly, to meet your invoicing needs. Read on to know about the enhancements and features that were rolled out for the month of September.
Configure multi-level approval for sales transactions
The bigger your organization is, the higher chances are for human errors to occur. You can steer clear of these mistakes by setting up multiple levels of approvals for sales transactions.
Here's how it works: You can set up multiple levels of approvers. Once the Level 1 approver approves a transaction, it goes to the Level 2 approver for approval, and so on. The transaction's status will remain as Draft, until it has been approved by the final approver. Multi-level approvals are available for invoices, retainer invoices, estimates and credit notes.
To enable multi-level approval for your sales transactions:
- Go to Settings > Preferences > Approvals.
- Choose the option Configure multi-level approval with specific approvers.
- Set the Level 1 Approver.
- Click Add New Level to add more levels of approvers. You can add up to 10 approvers.
- Click Save.
Note: Only users with approval permission for the sales module can be assigned as approvers.
Send SMS notifications for estimates
Created an estimate for your customer? You can now get it approved quickly by sending them an SMS message with the estimate's details. To send text messages for estimates, you have to configure the SMS notification first. Once you enable this option, you can go to the respective estimate, click More and choose the Notify via SMS option to send the message.
To enable this: Go to Settings > SMS Notifications > SMS Templates > Enable it for Estimate Details.
Set a date range when attaching customer statements
When sending an email to a customer, you can now select the date range of customer statements that you want to attach. You can also double check the attached statements by previewing them before sending the email.
To do this: Go to Customers > More > Email Customer > Mark the option Attach Customer Statement > Click the pencil icon to set the Date Range > Click Save.
Find what you need using Zia Search
Be it searching for a customer's details, or finding all invoices for a particular item, you can now make use of the powerful Zia Search to pull up results within seconds. If you have multiple Zoho Invoice organizations, Zia can search across all of them to help you find what's needed. You can access Zia Search using the following keyboard shortcuts:
- cmd + / for Mac
- ctrl + / for Windows
Enhancements to templates
We have brought in a few customizations to templates:
- Added the option to show or hide an associated invoice's invoice number and invoice date in the Credit Notes template (Available only in India and GCC editions).
To do this: Go to Settings > Templates > Credit Notes > Click Edit on a template > Header > Mark the option Associated Invoice Number/Associated Invoice Date.
- Added an option to change the font size of the content in all the email templates.
To do this: Go to Settings > Emails > Templates > Choose a module > Select a template > Choose your desired font size.
- You can now change the height and width of an item's image in custom templates, using the item image URL placeholder (Ensure that you enable Show in All PDF for item image in the item preferences).
View estimate details contextually
You can now view the estimate details within the invoice module by using the contextual sidebar. Once an estimate has been invoiced, you can view the estimate's details by clicking "View the estimate" in the Comments & History tab of the corresponding invoice.
