This eliminates the need for repetitive manual updates in each app, ensuring consistent and accurate information across your organization. This feature is currently supported by CRM, Desk, Projects, Bigin, Assist, Lens, Sign, Books, Expense, Invoice, Inventory, Billings, Commerce, Checkout, and Connect, with more integrations planned in future updates.

How it works
Synchronization is based on mapped profile fields between Zoho One and each application.
Example: When an employee is hired as a technician, their details are added to Zoho One. Once field mapping is configured, their profile is automatically created in Assist with all relevant information. If their department or location changes, the updates automatically sync across connected apps.

Managing users just got smarter! Previously, deleting a user from Zoho services was restricted due to the risk of losing associated data. With the new Delete User function, you can now remove users based on their organizational hierarchy, all while ensuring data integrity and business continuity.

When you delete a user, Zoho One walks you through a step-by-step workflow. This includes transferring owned data, reviewing directory-level app involvement, shifting department ownership, handling devices, and more. The system ensures everything is reassigned or cleaned up before the user is fully removed.

Here’s what you need to know
  1. Structured deletion workflow: Before fully removing a user, Zoho One walks you through essential steps to prevent data loss or disruption to services.
  2. Safe and controlled: Deleting users synced from Directory Stores or AD Sync tools must be done manually from the source, or the deletion may be reverted.
  3. Group and department cleanup: The user is automatically removed from all groups and departments. However, if these are actively used in Zoho services, some functionalities may be affected.
  4. License retention: The user’s license remains occupied until they are completely removed from the system.

1. Bring Your Own Key (BYOK)

What it is
Zoho One's Bring Your Own Key (BYOK) feature empowers organizations to manage and control their own encryption keys, enhancing data security and compliance.

How it works
Organizations can either integrate an external key manager (EKM) or manually upload an encrypted key encryption key (KEK). Zoho uses these keys to encrypt its internal data encryption keys (DEKs). When needed, Zoho requests decryption through the EKM or the uploaded certificate, keeping the process secure and controlled.

Key features and capabilities
  1. Custom key management: Organizations can use their preferred key management service (KMS) to manage encryption keys.
  2. Enhanced security: By using their own encryption keys, organizations maintain full ownership and control over their data encryption processes, ensuring that sensitive information is protected according to internal security policies.
  3. Compliance alignment: BYOK supports organizations in meeting strict compliance and data protection regulations by allowing them to manage encryption keys in accordance with industry standards.
Implementation options
  1. Integrate your existing EKM: Organizations can integrate their existing EKM with Zoho One:
    1. Configure the key in Zoho Directory.
    2. Zoho sends a request to the EKM to encrypt the DEKs provided by Zoho.
    3. The encrypted DEKs are stored in Zoho's in-house KMS.
    4. To decrypt the DEKs, Zoho sends a request to the EKM, receives the plain DEKs, and caches them temporarily for use.
  2. Manual key upload: Organizations can manually upload an encrypted KEK to Zoho Directory. The process involves:
    1. Extracting the public key from a certificate provided by Zoho
    2. Using this public key to encrypt and hash the KEK
    3. Uploading the encrypted KEK and its hash to Zoho Directory

2. Conditional access and Routing policies

What it is
Conditional access enhance security by restricting access to company resources based on defined conditions. Administrators can set rules based on factors like IP address, location, device, or time and specify actions such as deny access, allow access, or require MFA. Users must meet the selected conditions to gain access, with options to match all or any of the applied rules.

Routing policies define how users verify their identity using passwords, passwordless login, social sign-in, or identity providers, ensuring flexible and secure access across the organization.

How it works

Conditional access:
    1. Admins can set sign-in conditions for groups or users based on factors like IP address, location, device, time, and more.
    2. When the conditions are met, actions gets triggered. There are three actions: allow access, allow with MFA, or deny access.
    3. Multiple conditions can be combined, requiring either all or any conditions to match for access.
Routing policies:
    1. Admins create groups based on the login method required.
    2. Each group is assigned a routing policy to enforce one authentication method:
      1. Password: Standard login with user password
      2. Passwordless: OneAuth, Google Authenticator, Passkeys, SMS OTP, and more
      3. Social login: Log in via Google, Facebook, LinkedIn, etc.
      4. Identity providers: SSO via any IdP supporting SAML or JWT
    3. Session management options like Session Lifetime and Idle Session Timeout automatically sign users out after a specified period.

LDAP-compatible apps like Linux systems, Jira, OpenVPN, and certain printers can connect to Zoho One’s cloud LDAP service. Authentication happens over LDAPS (SSL), ensuring secure transmission of credentials between clients and Zoho Directory.

What it is
Identity Connect is an on-premises synchronization agent that securely connects your organization’s Active Directory (AD) or LDAP directory with Zoho One. It enables automated syncing of users, groups, and directory attributes, minimizing manual identity management.
An optional Password Sync Agent can be deployed on Domain Controllers to synchronize password changes in near real time, allowing users to sign in to Zoho services using their existing Active Directory credentials.

How it works
Identity Connect runs within your internal network and establishes a secure connection with Zoho One using predefined sync rules.
  1. The agent connects to Active Directory using LDAP credentials.
  2. Selected users, groups, and attributes are fetched based on:
    1. Organizational Units (OUs)
    2. Field mappings
    3. Sync criteria and filters
  3. Data is synchronized to Zoho Directory on a defined schedule.
  4. If enabled, Password Sync Agents capture password changes from Domain Controllers and securely push updates to Zoho One.
  5. Admins can monitor sync status, agent health, and user updates directly from the Zoho One.

What it is
Remote Authentication Dial-In User Service, also known as RADIUS, is a networking protocol that provides secure, centralized authentication for users connecting to a network. Essentially, a RADIUS server validates users and determines whether they're allowed to access the network. It handles authentication, authorization, and accounting (AAA) whenever a user connects, most commonly via Wi-Fi.
With RADIUS, each user can connect using individual credentials rather than sharing a common password, making access control more secure and manageable.

How it works
  1. In a home setting: Authentication is simple. A device (called a supplicant, like a laptop or phone) requests access to the network. The router acts as a network access server (NAS) and authenticates the device using a pre-shared key (PSK). Since there are only a few users, managing access is straightforward.
  2. In an enterprise setting: Managing Wi-Fi access for many employees becomes complex. RADIUS simplifies this by storing all employee credentials in a centralized database. Advanced protocols like EAP-TTLS (Extensible Authentication Protocol Tunneled Transport Layer Security) create secure TLS tunnels for encrypted data transfer. Within these tunnels, credentials are sent securely using PAP (Password Authentication Protocol), ensuring both security and resistance to attacks.
Zoho Directory integrates RADIUS authentication into your Wi-Fi setup, allowing employees to use their Zoho Directory credentials to connect. When a user attempts to access the network:
    1. The credentials are sent to Zoho Directory servers.
    2. The server verifies the credentials and sends back either an acceptance or rejection message.
Because all employee details are stored securely in a centralized database, administrators can easily manage access, ensuring that only authenticated users are connected to the organization’s networks.

What it is
The Anomaly Detection module in Zoho One helps organizations monitor and manage unusual or anomalous activities in the application to ensure data security is never compromised. Any activity that deviates from normal patterns, such as logging in from an unusual device, location, IP address, browser, or at an unusual time, is marked as an anomaly. Both admin and non-admin users can be actors of an anomaly, while the user affected by the activity is referred to as the target.

How it works
The Anomaly Detection module is divided into two main sections:

Dashboard: The Dashboard tab provides an overview of anomaly patterns, helping admins understand trends and adjust security practices. Widgets in the dashboard allow filtering based on specific timelines and display anomalies by count, type, actor, and impact.

Anomalies: The Anomalies tab lists all detected anomalous activities with details such as actor email, login info, activity details, and the reason the activity was flagged. Admins can take action on anomalies by marking them as non-anomalous if safe, deactivating the actor to restrict access, or resetting passwords to prevent potential breaches.
