Cooling-off Period Enhancement in Zoho Recruit | Prevent Duplicate Applications


We’ve enhanced the Cooling-off Period feature in Zoho Recruit to give you more control over repeat applications and referrals. This helps you maintain a cleaner, more efficient recruitment pipeline.

With this enhancement, you can:

  • Prevent duplicate candidate records in your system.

  • Save time otherwise spent reviewing the same profiles multiple times.

  • Provide a smoother candidate and vendor experience with clear communication.

A Quick Example  

Imagine you’re hiring for a role and receive multiple applications from the same candidate within days, or several referrals of the same person from different employees. This clutters your pipeline and eats into recruiter time.
With the enhanced Cooling-off Period, you can now:

  • Prevent the same candidate from applying through the Career Site until the set period ends.

  • Stop duplicate referrals from the Employee Referral portal.

  • Ensure vendors don’t resubmit the same candidate repeatedly through the Vendor Portal.

What’s New  

  • Extended coverage: Now applies to the Career Site, Vendor Portal, and Employee Referral.

  • Flexible duration: Define the Cooling-off Period in days or months, based on your hiring cycle.

  • Custom alerts: Show personalized messages to candidates or vendors when the Cooling-off Period is active, so they understand why they can’t resubmit just yet.

Key Use Cases  

  1. Career Site applications
    Stop candidates from reapplying for the same job within a short window. Instead of multiple identical resumes filling up your system, you get one clean application to review.

  2. Employee referrals
    Avoid repeated referrals of the same candidate by different employees. This keeps your referral pipeline accurate and prevents unnecessary confusion.

  3. Vendor submissions
    Ensure vendors don’t repeatedly submit the same profile, giving all parties a fair chance and keeping your database free of clutter.

Getting Started  

Go to Setup → Portal Setup → Portal → Cooling-off Period to configure your settings.
