Important Notice: Gmail Sender Policy Updates and Impacts on Vertical Solutions- Subscriber Accounts

Dear Partners,

Google has announced its Email sender guidelines that will be effective from February 1, 2024, intending to enhance security and minimize spam on its platform.

This post is to highlight the changes and impacts on the emails sent from our subscriber accounts in the Zoho Vertical Solutions Platform.

Changes Highlights and Impacts

1. Unauthenticated Gmail Accounts
      Gmail will be implementing DMARC with a 'quarantine' policy for unauthenticated emails with sender domains 'gmail.com' or 'googlemail.com'. This means that messages that are not authenticated with DMARC at the receiving server may be sent to quarantine or the recipient's spam folder.

2. Senders who send more than 5,000 messages per day to Gmail accounts
      Senders who send more than 5,000 messages per day to Gmail accounts must have their SPF and DKIM aligned.

Failing to adhere to the guidelines could result in emails not getting delivered as expected or being flagged as spam, potentially causing IP reputation damage. Therefore, all emails sent out from the application should be authenticated.

To mitigate these challenges and maintain our sender reputation, the following changes will be implemented to the emails sent from Subscriber Accounts effective from Feb 1, 2024.

a) Email addresses from public domains will automatically be re-formatted:
      Email addresses from public domains such as Gmail, Yahoo, and Outlook will be automatically updated to our authenticated domains.
      For example, when a user sends emails using emailaddress@gmail.com via Vertical Solutions Org, the email's recipients will see the emails in their inboxes as being sent       from emailaddress.gmail.com@viazohoverticals.com.

b) Email addresses from non-authenticated domains will automatically be re-formatted.
      Users sending emails through their domains without authentication will experience a similar reformatting.
      For example, when users send emails from sales@zylker.com, recipients will view the emails in their inboxes as sent from sales.zylker.com@viazohoverticals.com, provided zylker.com hasn't been
      authenticated.

To prevent the email ID from being reformatted, users with a public domain should configure their mailbox, while those using a custom domain need to establish Email Authentication.
