What's New in Zoho Payroll [Indian Edition]: July 2020

Hi everyone,

As we look forward to the second half of 2020, we hope that things improve on all fronts.  Meanwhile, we have been working to enhance your payroll processing experience in Zoho Payroll. Check out the new updates we have for you this month.

Option to delete loans

You can now delete the organisation loans that you've created in Zoho Payroll if:

- they are not open (active) in an employee's account,

- they are cancelled, or 

- repayments have been made offline (in this case, record manual repayments and close the loan before deleting the loan)

To delete a loan:

• Go to the Loans module.
  
• Click Manage Loans.
  
• Click the Trash icon next to the loan you want to delete.
  
• Click Yes to confirm.
  

Bulk-download payslips and TDS sheets in a paid pay run

Once a pay run is processed, payslips and TDS sheets for all employees will be auto-generated. You can now download all the payslips and TDS worksheets present in a pay run in bulk.

To download the payslips and TDS sheets:

• Go to the Pay Runs module.
  
• Click the Payroll History tab.
  
• Click the payroll in which you want to download the payslip or TDS sheets.
  
• Click the More icon and select Download all Payslips or Download all TDS Worksheets.
  
• Choose where you want to save the file on your device and the file will be downloaded.
  

Display employees' departments in payslips

In addition to PAN, YTD, and work location, you can now include employees' departments in their payslips. To add this:

• Go to Settings, then Payslip Templates.
  
• Hover over a template and click the Pencil icon.
  
• Check the Department option.
  
• Click Save.
  

Sync custom field information from Zoho People

You can now sync custom fields created in Zoho Payroll with fields in Zoho People to populate information. You can configure this sync while you enable the Zoho People and Zoho Payroll integration, or when you create a custom field in Zoho Payroll. For example, let's say you want to sync 'Reporting to' information from Zoho People with Zoho Payroll. You can create a custom field in Zoho Payroll with the name 'Reporting to' and then map this field to the field present in Zoho People.

To map custom fields:

• Create a custom field in Zoho Payroll with the desired name.
  
• Go to Settings > Zoho Apps > Zoho People > View Details.
  
• Click Edit Field Mapping.
  
• Find the custom field under Other Information.
  
• Map the relevant field from Zoho People and click Save.
  
• Click Instant Sync.
  

Enhancements to the Reports module

New filter options have been added to the Reports module to help you with your organisation's payroll analysis. You can filter all the reports by department, designation and work location.

To apply filters on a report:

• Open a report.
  
• Click Customise Report in the top band.
  
• Select the desired filters and then click Run Report.
  

You can also export these reports in PDF, XLS, and XLSX formats, or export any report into a Zoho Sheet and analyse it online.

Export the Deduction Report

You can now export the Deduction Report with a deductions summary for a specified period (for example, Total EPF Contribution for the first quarter of the financial year). To export a specific deduction report:

• Go to Reports > Deduction Reports > Deductions Summary.
  
• Within this report, click the report that you want to view in detail.
  
• Click Export as and choose the desired file format to export the report.

  Is there a work around for merging items? We currently have three names for one item, all have had a transaction associated so there is no deleting (just deactivating, which doesn't really help. It still appears so people are continuing to use it).
